Position Overview: The Personal Secretary to the Managing Director (MD) provides high-level administrative, secretarial, and organizational support to ensure the efficient functioning of the MD’s office. This role requires professionalism, confidentiality, strong communication skills, and the ability to manage multiple priorities with accuracy and attention to detail. 2. Key Responsibilities A. Administrative & Secretarial Support Manage the MD’s daily calendar, appointments, meetings, and travel schedules. Screen, route, and prioritize incoming emails, calls, and correspondence. Draft, format, and prepare letters, reports, presentations, and other documents. Maintain an organized filing system (physical and digital) for confidential and general documents. Ensure all documents requiring the MD’s attention are prepared, verified, and tracked. B. Meeting Coordination Plan and coordinate internal and external meetings, conferences, and events. Prepare meeting agendas, briefing materials, and presentations for the MD. Take accurate meeting minutes and follow up on action points and deadlines. C. Communication & Liaison Act as the primary point of contact between the MD and internal/external stakeholders. Handle inquiries efficiently while maintaining professionalism and confidentiality. Facilitate smooth communication flow within the organization on behalf of the MD. D. Travel & Logistics Plan domestic and international travel itineraries, including tickets, accommodations, and logistics. Ensure travel documents, visas, and related arrangements are complete. Prepare detailed travel briefs and itineraries. E. Office Management & Coordination Coordinate with various departments to ensure tasks assigned by the MD are completed. Assist in following up on key project deadlines, reports, and deliverables. Track expenses, manage reimbursements, and maintain records for the MD’s office budget. F. Confidentiality & Professional Conduct Handle sensitive information with the highest level of confidentiality and integrity. Maintain a professional demeanor and represent the MD’s office with discretion.
