Role Objective Provide comprehensive operational, administrative, and accounting support for Genesis One, ensuring accurate bookkeeping, timekeeping, payroll auditing, HR administration, recruiting coordination, compliance, and optimization of Integrity’s systems through AI-driven solutions. Core Responsibilities Bookkeeping & Accounting Prepare monthly financial statements (balance sheet, statement of income) and ensure timely closing of books. Enter transactions and perform monthly bank reconciliations for all business accounts. Update and maintain depreciation schedules for fixed assets. Conduct overall review of the general ledger for accuracy and completeness. Prepare and file forms 1099s for independent contractors annually. Utilize Intacct, QuickBooks Online, and Bill.com for monthly bookkeeping and financial reporting. Generate financial statements and support quarterly business reviews and KPI tracking using Power BI and Vena. Payroll & Tax Compliance Oversee bi-weekly payroll processing, including direct deposit, employee setup, and payroll account management. Ensure timely tax deposits and filing of monthly, quarterly, and annual payroll tax returns. Manage year-end W-2 and W-3 filings, including electronic and mailed options. Enter payroll journal entries based on payroll reports from E-pay. HR Administration & Recruiting Coordinate recruitment activities, onboarding, and employee documentation. Maintain HR scorecards, competency checks, and retention metrics. Support engagement surveys and leadership training initiatives. Execute HR scorecard goals: reduce time-to-fill, ensure competency checks, and manage retention metrics. Tag Work & Compliance Handle tag-related administrative tasks and ensure adherence to internal compliance protocols. Maintain accurate records for audits and reporting. Adhere to Integrity’s inventory management procedures and supply chain standards. Support contract compliance and security requirements for Genesis One projects. AI & Systems Optimization Leverage AI tools to streamline workflows, automate repetitive tasks, and enhance data accuracy. Assist teams in maximizing the use of Integrity’s platforms (Power BI, Vena, Tallie, SharePoint, Microsoft Teams). Identify opportunities for process improvement through AI-driven insights. Operational Support Prepare dashboards and reports for leadership reviews. Coordinate cross-functional projects and ensure timely execution of deliverables. Required Skills & Competencies Systems Expertise: Intacct, QuickBooks Online, Bill.com, Vena, Tallie, Power BI, SharePoint, Microsoft Teams. AI Proficiency: Familiarity with AI tools for HR, payroll, and operational automation. Strong organizational and analytical skills. Excellent communication and problem-solving abilities. Preferred Experience Background in bookkeeping, accounting, HR administration, payroll, and recruiting. Experience with compliance and operational reporting. Ability to manage remote teams and cross-border workflows. Compensation & Benefits Salary Range: $18,000–$28,000 USD annually (based on experience and scope).
