Job Description: Export Executive / Export Coordinator

Position Title: Export Executive
Department: Accounts
Reporting To: Export Manager / Logistics Manager
Location: Ludhiana, Punjab
Gender: Male only
Qualification: B. Com
Experience: 3-5 Year

Role Overview:

The Export Executive is responsible for managing end-to-end export operations, ensuring timely documentation, shipment coordination, compliance with export regulations, and smooth communication with customers, brokers, and service providers. The role requires strong attention to detail, coordination skills, and the ability to handle daily export activities efficiently.

Key Responsibilities:
1. Export Documentation & Compliance

  • Prepare and manage documentation for all export shipments on a regular basis.
  • Generate shipping instructions, annexures, master sheets, and AWB/Sea waybill finalization.
  • Update EGM files, BRC records, and shipping bill data in ERP.
  • Ensure accurate preparation of sub-invoices and maintain related records weekly.
  • Upload bolt seal details and ensure smooth submission of ASN (Advanced Shipment Notice).
  • Confirm drawback receipts and ensure compliance with export guidelines.

2. Shipment Coordination

  • Coordinate daily with brokers and material dispatch teams for smooth shipment movement.
  • Track containers for customers and update dispatch/tracking sheets.
  • Handle daily shipment booking and prepare dispatch documents.
  • Perform shipment billing and manage documentation as required.

3. Record Management

  • Maintain and update hard copy and digital records daily.
  • Manage invoice checks for service providers and verify records.
  • Maintain debit/credit invoices for buyers.

4. Customer & Stakeholder Communication

  • Coordinate with logistics partners, service providers, and internal teams.
  • Provide shipment updates to customers on a daily basis.
  • Work closely with brokers for dispatch and documentation requirements.

5. Financial & Cost Monitoring

  • Handle freight cost recoverable activities on a daily basis.
  • Ensure correctness of vendor / service provider invoices.

Required Skills & Qualifications:

  • Bachelor’s degree in Logistics, International Business, Commerce, or equivalent.
  • 2–5 years of experience in export operations or logistics (as per company requirement).
  • Strong knowledge of export documentation, ERP systems, and shipping procedures.
  • Proficiency in MS Office (Excel, Word).
