DUTIES AND RESPONSIBILITIES

1 Conducting morning briefing daily basis’s checking grooming and sharing Photos with the Community manger.

2 Delegating staff according to the day’s schedule and ensuring that all cleaning activities are carried.

3 Checking staff attendance and ensuring that &manpower is allotted as per list and according to the day’s requirements.

4 Going on morning rounds and inspecting with MST around premises and ensuring that the environment in all sections is clean and up kept all operations equipment.

5 CHECK THE L T PANELS, U P S OPERATION, SERVER, ROOM TEMPERATURE, A H U PARAMETERS.CHECK & UPDATE AND ALL THE DAILY PANELCHECKLIST.CHECK THE PANTRY EQUIPMENTS working conditions of equipment’s.

6 To coordinate with the property team for any internal complaints rest water, AC chiller, any client material movement.

7 To Communicate with the property team if any team happening in premise.

8 Check Cleaning of meeting rooms, mat pick up, dusting furniture, and TV, checking markers erasing the board done Housekeeping team.

9 Check Conditions bulbs and get the fused lights Replaced coordinating with MST.
10 Check the Restrooms &disabled cleaning through the day and cleaning of tiled walls, taps, mirror, urinals, W/C, doors, washbasin, soap dispenser, toiletries replacement, floor up keep, clearing the dustbin and lighting Incense oil.

11 Control all expenditures relating to Housekeeping, including labour, supplies.
12 Check Placed Infused water in the fuel bar dispenser & Placed Meeting infused water in jug, water jugs & clean water glasses, water dispenser, Milk refilling & cleaning of vici cooler.

13 Check arrangement of all cookie jars, tea tray, glasses, mugs, cutleries, crockeries and microwave

14 check community lounge dining area and all meeting rooms,

15 Making the arrangements for events if any for the day after coordinating with pantry boy.

16 Checking of the meeting room is set up used clean Jugs, glasses and refilling with clean water & Face tissue

17 Check the floor temperatures of Community lounges and reception private studios, Checking the entire premises and managing as per the standards.

18 Check arrangement of all cookie jars, tea tray, glasses, mugs, cutleries and crockeries etc., and refilling to be done before leaving the place and request for the infused ingredient’s next day, alignment of community lounge.

19 Check with Community manager for any events for the day.

20 Check and need to go out and procurement need to done for event and make the arrangement for the event.

21 Having regular briefing with junior staff on their functioning and their daily report Morning and Evening.

22 Going on regular inspection rounds in the block and ensuring restrooms and fuel bar community lounge passage’s, that the environment all sections is clean.

23 Ensuring that waste management procedures are carried out according to laid down principles.

24 Making of duty rosters of all staff and maintaining the registrar for staff leave and absenteeism.

25 Reporting of any complaints concerning snag to the FM and taking corrective action. Other jobs as assigned time to time.

26 Implementing training to increase staff knowledge about safety, sanitation, and accident prevention principles

27 Monitoring 52weeks weekend activities and updating a detail report to FM and Ensuring all the documentation.


28 Coordinating with vendor any break down equipment after communicating to the FM and communicate team once its completed

29 Coordinating with vendor weekly & quarterly PPM for operational equipment asper the scheduled

30 Monitoring weekend activities and updating a detail report to FM and Ensuring all the documentation followed, checked updated as per set standards of checklist.

31 Ensuring customer satisfaction by achieving delivery of service quality norms by interacting with clients & resolving complaints
32 Executing policies & procedures in the operating systems to achieve greater customer delight 33 Delivering high-value services to upscale clients for exalting their satisfaction levels. Team Management.

34 Check the record the Calculate Daily Power Consumption, coordinate with the MST switch off all unwanted light, AC to be switch off.

35 Issue stock and update the Consumables sheet on the day-to-day basis.

36 To coordinate with the Security daily movement material, register and staff movement register (milk, water, newspaper, materials received)

37 Ensuring guest property left behind is logged and handover to security and is responsible for maintain records.

38 Safeguard all the interest of the management.

39 Vendor Staff attendance to be maintained.


40 Ensure that all Security Personnel have with them the latest updated telephone numbers of the employees and emergency numbers like police, fire, property manager, security manager of building etc.

41 Prevention and detection of theft, pilferage, fire, accidents, misuse of resources

42 Check and control on all movements and authorize entrance and departure of employees, visitors, and material to guard against any abnormalities

43 Shall insist on the employee’s/contract staff/visitors to wear their respective identity badges before entering the office if directed by the management

44 Shall adhere with the policies of the Company on material out-pass/gate-pass


45 Maintenance of records of all men and material movements including the maintenance of reports of daily occurrence and irregularities, such as equipment or property damage, presence of unauthorized persons, or unusual occurrences

HK Store Management:

  • Send the material request as per the site requirement
  • Receive the HK Materials and Chemical as per the request
  • Cross check the chemicals and materials on quality basis
  • Arrange the chemicals and materials in separate place in store
  • Handle the chemicals according to MSDS (Material safety data sheet)
  • Enter the chemicals and materials in the consumption on daily basis without fail
  • If there is any shortage of chemicals and material, Inform the responsible person
  • After usage of machineries, it should take back to store

Roles & Responsibility of during Emergency:
Fire & Smoke: On receiving message of Fire / Smoke reported, to the take the following actions:
  • When the Security receives the information on the Fire Panel about the Fire Accident, he will notify the ERT regarding the type of Fire, location of Fire and the intensity of the Fire.
  • All the ERT Members will immediately rush to the spot with the portable fire extinguisher
  • A member of ERT will try to contain the Fire in its location and prevent from spreading
  • A member of ERT will carry-out salvaging of the area.
  • The ERT will try to extinguish the Fire by using the Fire Extinguisher / Hydrant System available at the spot.
  • If the Fire cannot be brought under control and becomes a major fire which cannot be controlled with the available resources, then the Evacuation is to be called for
  • Notify the authority and make announcements through PA System to all the occupants to evacuate the building.
  • All the ERT Members should ensure that all occupants have safely been evacuated and reached the Safe Assembly Point
  • Notify the Fire Brigade to extinguish the Fire.
  • Till the Fire Brigade reaches the spot, the ERT Team will continuously fight the Fire to extinguish.
  • Ensure that nobody enters the building till it is declared safety to return.
  • Investigate the cause of ignition of fire.
  • Take preventive measures against the causes detected.
