Job Purpose: To provide high-level administrative and executive support to the CEO, ensuring smooth and efficient management of communications, schedules, documentation, and confidential matters related to multiple business verticals, including elevators, infrastructure, training, and renewable energy. 2. Key Responsibilities: · Maintain CEO's calendar, schedule meetings, manage travel itineraries and coordinate appointments across all five companies. · Prepare and manage internal/external correspondence, reports, MoMs, confidential documentation, and presentation materials on behalf of the CEO. · Serve as the primary point of contact for internal teams and external stakeholders requiring CEO-level interactions. · Handle sensitive information with discretion and ensure confidentiality at all times. · Track and follow up on delegated tasks and projects to ensure timely completion and reporting. · Support CEO in research, data compilation, and report drafting for reviews, investor meetings, client briefings, and board discussions. · Coordinate with department heads across companies to ensure alignment on CEO priorities, initiatives, and communications. · Organize and support high-level internal events, executive visits, board meetings, and strategic off-sites. · Maintain records and filing systems (physical and digital) for all business entities, agreements, licenses, and other legal/compliance matters. · Manage and organize documentation and communication flow between CEO and legal, finance, HR, marketing, and project teams. · Handle personal protocol arrangements and assignments for the CEO where required. 4. Key Performance Indicators (KPI): · Timely and error-free scheduling, documentation, and correspondence · Effective follow-up and closure of CEO’s tasks across all verticals · Maintenance of confidentiality and professional handling of sensitive matters · Responsiveness and coordination effectiveness with internal and external stakeholders · Quality and timeliness of reports and presentations · Overall administrative efficiency and support delivery 5. Qualifications & Experience: · Graduate/Postgraduate in Business Administration, Secretarial Practice, or relevant field · 5+ years of professional experience supporting Chief-level executives · Experience in multi-business handling and coordination preferred · Excellent communication (written & verbal), organizational, and problem-solving skills · Proficiency in MS Office Suite, Calendar tools, and Virtual Meeting Platforms 7.
