An Executive Assistant (EA) to the Managing Director (MD) provides high-level administrative support and manages the MD's daily operations, acting as a crucial point of contact and facilitator for the executive office. This role involves managing schedules, coordinating meetings, handling communications, and performing various administrative tasks to ensure the smooth functioning of the MD's office and efficient communication within the organization. Key Responsibilities: Calendar Management: Managing the MD's complex calendar, scheduling appointments, meetings, and travel arrangements. Communication Management: Handling correspondence, including screening calls, responding to emails, and managing communications with internal and external stakeholders. Meeting Coordination: Organizing meetings, preparing agendas, taking minutes, and ensuring all logistical details are handled. Document Preparation: Preparing and editing documents such as reports, presentations, and correspondence. Travel Arrangements: Arranging travel logistics, including flights, accommodation, and itineraries. Confidentiality: Handling sensitive and confidential information with discretion and professionalism. Project Management: Assisting in the planning and execution of projects, tracking progress, and following up on action items. Office Management: Maintaining office systems, ensuring smooth operations, and managing office supplies. Stakeholder Liaison: Serving as a point of contact between the MD and internal/external stakeholders, ensuring effective communication and coordination. Skills and Qualifications: Excellent organizational and time management skills . Strong communication and interpersonal skills . Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) . Ability to work independently and manage multiple priorities . Discretion and confidentiality .
