1. Staff Management ● Oversee the daily operations of the housekeeping Staff ● Provide guidance, support, and training to housekeeping staff. ● Prepare work schedules and allocate duties to housekeeping staff. ● Monitor staff performance and provide feedback and evaluations. 2. Cleaning Quality Control ● Conduct regular inspections of rooms, washroom, kitchen, garden area, hall area & back-of-house areas to ensure adherence to cleanliness standards. ● Address and resolve any issues related to cleanliness or maintenance promptly. ● Implement and maintain quality control procedures. ● Prepare the Daily, Weekly & Monthly cleaning checklist of General Area, Washroom, room, Staff area etc 3. Inventory Management ● Manage inventory levels of cleaning supplies and equipment. ● Make a list and Request to Order and purchase necessary supplies and equipment within budgetary constraints. ● Ensure proper storage and handling of cleaning supplies. ● Prepare the list of good & materail required for a Housekeeping cleaning & also keep the track of it use ● Keep Record & update inventory of Furniture, Kitchen Uitilies, storeroom, Gym equipment, gardern, Pole light, Carmera etc 4. Vendor Management: ● Maintain contracts with reliable maintenance vendors. ● Monitor vendor performance and cost ● Prepare the list of vendor with quotation 5. Electrical Systems: ● Inspect wiring, outlets, and circuit breakers regularly. ● Ensure compliance with electrical safety standards. 6. Plumbing Systems: ● Observation of pipes, fixtures, and drainage for leaks and blockages. ● Maintain proper functioning of plumbing systems. 7. AC Systems: ● Check that the ACs are working Fine ● Coordinate with respective person for AC maintenance ● Prepare the tracker for AMC Service 8. Safety and Security: ● Check the fire safety equipment (extinguishers, alarms, sprinklers) are proper ● Keep tracker for AMC service & refilling the fire extinguisher ● Coordinate & Manage the security staff to ensure the safety of the household and property ● Prepare List of names, duty hrs, and other details to be maintenance od security staff ● Maintain the mapping of fire system location and the location wise numbers on the main board to understand where the fire alarm has gone off in case of fire or smoke 9. Emergency Preparedness: ● Prepare the emergency contacts list. 10. Complain List: ● Observe in our office what maintenance and repair work needs to be done & prepare the list ● Keep records of repair & maintenance activities and inspections. ● To inform about the complains to reporting Manager and act upon the same after taking instruction and approvals 11. Property Management: ● Ensure the office is well-maintained and secure. ● Liaise with external contractors and service providers. 12. Bill Management ● Keep detailed records of all household expenses, including utility bills, maintenance costs, grocery purchases, and other expenditures. ● Ensure all bills (electricity, water, gas, internet etc.) are submitted on time to the Account department at Head office. 13. Report ● Maintain and submit a daily report of the work done for the day, cleaning sheet, weekly checklist (every Friday)
Duties of a peon:- He should assist in any of the office work as and when required. He should refill the water bottles of the staff as and when required. He should be aware of all the stationeries. He should keep the office tables, chairs, cupboards, book – shelves, cubicles and cabin clean and tidy. Before leaving from the office, he should check if all the systems, lights and fans and / or ACs are switched off and the windows and doors of all the cabins and cubicles are closed. Preparing the tea and serving Tea to the staff. He should serve lunch to directors. Sanitizing the office twice a day. Maintain clean and hygienic work environment.
