Role & responsibilities General Responsibilities: 1. Supervising Office Staff: -Oversee and coordinate the work of clerical staff (e.g., clerks, typists, data entry operators). - Ensure proper distribution of work and monitor performance. 2. Administration & Record-Keeping:-Maintain records related to students, staff, and academic activities. - Oversee admissions, attendance, exam results, and other student data. - Ensure safe custody of important documents and files. 3. Correspondence & Communication- Draft and review official correspondence, notices, circulars, and reports. 4. Finance & Accounts Support: - Assist with budgeting, salary disbursements, and fee collection processes. - Monitor day-to-day financial transactions (though actual accounting may be done by the accounts staff). 5. Compliance & Reporting: - Ensure compliance with guidelines from regulatory bodies (e.g., UGC, university, government,Related council). 6. Prepare reports and data for audits, inspections, and accreditation processes. 7. Coordinate with external bodies like universities, education boards, and government departments. 8. Handle university affiliation matters, exam coordination, etc. 9. Assist the Principal in administrative planning and execution. 10. Manage the incoming and outgoing correspondence, checking for accuracy and ensuring prompt dispatch. 11. Handle and monitor court cases related to the office section and ensure legal matters are dealt with appropriately 12.Managing and training administrative assistants, receptionists, and other support staff. 13. Overseeing daily operations such as scheduling, record-keeping, and filing. 14. Handling office supplies, equipment, and inventory. 15. Managing incoming and outgoing mail and other communications. 16. Ensuring accurate and organized record-keeping of all administrative documents. 17. Supporting the Principal in the preparation of the college budget. Other Key Responsibilities: 1. Developing and implementing office policies and procedures. 2. Making sure that all administrative activities adhere to college policies and relevant regulations. 3. Handling sensitive and confidential information with discretion. 4. Addressing and resolving any administrative issues or challenges that may arise. Preferred candidate profile - Preference will be given to the candidate who has experienced in educational field
