Position: Administrative Head / Director of Administration Reports to: College President / Principal / Board of Trustees Job Summary: The Administrative Head is responsible for managing all non-academic administrative operations of the college. This includes developing and implementing policies, supervising staff, and overseeing financial, logistical, and student support services to ensure the college's smooth and efficient functioning in line with institutional goals and regulatory requirements. Key Responsibilities 1. Strategic and Operational Leadership Assist the Principal and other senior leaders in translating the college's vision and strategy into an actionable administrative plan. Develop, implement, and review administrative policies and procedures to improve efficiency and workflow across all non-academic departments. Oversee daily operations, ensuring that all processes comply with institutional policies and government regulations. 2. Staff Management and Human Resources Supervise, lead, and mentor the administrative and non-teaching staff, including hiring, training, performance evaluations, and disciplinary actions. Work with the Human Resources department to manage policies, employee development programs, and compliance with labor laws. Maintain accurate staff records, including service books and seniority lists. 3. Financial Oversight Coordinate with the accounts and finance departments on budget preparation and financial planning. Monitor expenditures to ensure they remain within the approved budget and are compliant with financial rules. Oversee financial audits and ensure all accounting practices are transparent and properly documented. 4. Compliance and Reporting Ensure the college complies with all relevant national and state educational regulations, including those from UGC, NAAC, and AICTE. Prepare and submit all required statutory reports and documents to external authorities. Maintain all institutional records, credentials, and important documents with a focus on security and confidentiality. 5. Campus Facilities and Infrastructure Act as the chief coordinator for all activities related to the maintenance of the campus. Oversee and audit the condition of campus infrastructure, office equipment, laboratories, and other facilities. Coordinate with architects and other external contractors for new construction or renovation projects. 6. Student Records and Services Supervise the maintenance of all permanent student records, including admission, enrollment, and results. Oversee the student admission process and ensure it follows prescribed norms. Coordinate student support services, such as scholarships, career services, and events. 7. Communication and Liaison Act as a central communication link between the administration, faculty, staff, students, and external stakeholders. Manage official correspondence, circulars, and notices. Liaise with external organizations, government bodies, and accrediting agencies. Qualifications Education: A Bachelor's degree in Business Administration, Management, or a related field is typically required, with a Master's degree often preferred. Experience: Proven, extensive experience in a senior administrative or management role, preferably within a higher education institution. Skills: Strong leadership and team management abilities. Excellent organizational, multitasking, and problem-solving skills. Proficiency in budgeting, financial management, and reporting. High level of computer literacy, including experience with institutional management software (ERP, MIS). Exceptional written and verbal communication and interpersonal skills.
