Job Summary The Executive Assistant will provide high-level, comprehensive administrative and secretarial support to the senior executive(s) (e.g., CEO, Managing Director) of the C.P. Valves Industry company. This role is critical in ensuring the efficient operation of the executive office, managing key communications, and handling confidential information with the utmost professionalism and discretion. Key ResponsibilitiesAdministrative and Calendar Management Manage and maintain the executive's complex calendar, including scheduling appointments, meetings, and conferences, and proactively resolving scheduling conflicts. screen and direct all incoming phone calls, emails, and correspondence , prioritizing and responding to inquiries on behalf of the executive where appropriate. Maintain an organized and effective filing and documentation system (both physical and digital) for all executive-level records and confidential materials. Communication and Reporting Act as the primary point of contact and liaison between the executive, internal departments, external clients, vendors, and other stakeholders. Draft, proofread, and format professional correspondence (emails, letters, memos), reports, proposals, and presentations. Prepare Meeting Agendas, attend meetings, accurately take and distribute minutes , and follow up on assigned action items to ensure timely completion. Compile and manage Monthly/MIS reports and other data as requested by the executive. STRONG FOLLOW UPS WITH CUSTOMER AND VENDORS Office and Financial Support Prepare and process expense reports and manage petty cash for the executive office Assist in maintaining and monitoring the office budget and handling invoices or purchase orders related to the executive's functions. Ensure the executive's office is well-stocked with necessary supplies and operational equipment. Confidentiality and General Support Handle highly confidential and sensitive information with uncompromising integrity and discretion. Assist with personal tasks and responsibilities of the executive as needed, ensuring a smooth balance of their professional and personal schedule.
