Role Clarity: Procurement Specialist Packaging Material Key Responsibilities: Indent Basis Purchases: Manage miscellaneous purchases based on indent requests. Liaison and Coordination: Facilitate communication between suppliers, manufacturers, relevant internal departments, and customers to ensure smooth operations. Active Participation in ORM: Represent the Purchase Department in Plant Operations Risk Management (ORM) meetings. Supplier Database Maintenance: Maintain an up-to-date database of approved suppliers to ensure compliance and efficiency. Supplier Relationship Management: Build and nurture strong relationships with both new and existing suppliers. Contract Negotiation: Negotiate and finalize contracts with suppliers, monitoring the quality of service provided. Vendor Rating and Approval: Conduct vendor ratings and manage the approval/re-approval process in alignment with the factory technical team and current regulatory norms. Cost Optimization: Negotiate for lower or optimal pricing to enhance cost-effectiveness. Purchase Order Management: Oversee the preparation of purchase orders (POs), ensuring timely payments and invoice processing. Stakeholder Collaboration: Collaborate with stakeholders to document clear requirements for procurement. Timely Material Delivery: Ensure timely delivery of materials in accordance with factory requirements. Performance Tracking: Track and report key functional metrics to identify opportunities for cost reduction and improved operational effectiveness. New Supplier Development: Research and source potential suppliers and vendors to expand the supplier base. Staff Training and Development: Train and develop both new and current staff within the procurement department. Review of SOPs: Review and update all procurement Standard Operating Procedures (SOPs) to enhance efficiency. Management Information Systems (MIS): Design and publish management reports as per the required frequency. Additional Duties: Perform any additional duties as required to support the procurement function.
