About the Role: We are seeking a highly organized and proactive Operational Support Specialist to play a crucial role in ensuring the seamless and efficient execution of our real estate operations. This position is vital to our back-office function, providing essential support to our internal teams and contributing directly to a positive client experience. You will be responsible for managing a diverse range of daily tasks, acting as a key point of contact for client communications, meticulously handling property data, and fostering effective collaboration across internal departments. This is a full-time, permanent position within our Customer Success, Service & Operations department, offering an excellent opportunity to contribute to a dynamic and growing real estate company. Key Responsibilities: Daily Task Management: Efficiently manage and execute a variety of daily operational tasks, ensuring accuracy and adherence to established procedures. This may include processing paperwork, generating reports, maintaining internal databases, and following up on outstanding items. Client Communication: Serve as a professional and responsive point of contact for client inquiries, providing timely and accurate information via phone, email, and other communication channels. This includes addressing general queries, escalating complex issues appropriately, and maintaining positive client relationships. Property Data Entry and Management: Accurately and efficiently input, update, and maintain property-related data within our systems. This includes details such as property features, pricing, availability, and status, ensuring data integrity and accessibility for relevant teams. Internal Team Coordination: Collaborate effectively with various internal teams, including sales, marketing, property management, and finance, to ensure smooth workflow and information sharing. This involves proactively communicating updates, providing necessary documentation, and facilitating inter-departmental processes. Real Estate Operations Support: Provide comprehensive operational support to the broader real estate operations, assisting with tasks such as transaction processing, document preparation, scheduling appointments, and maintaining organized records. CRM System Management: Learn and proficiently utilize our Customer Relationship Management (CRM) system to manage client interactions, track property information, generate reports, and support overall operational efficiency. Administrative Duties: Handle a range of administrative tasks, including managing correspondence, organizing files, maintaining office supplies, and providing general administrative support to the team. Process Improvement: Identify opportunities for process improvement and contribute to the development and implementation1 of more efficient operational workflows. Compliance and Accuracy: Ensure all tasks are performed in compliance with relevant regulations and internal policies, maintaining a high level of accuracy in all data and documentation. Required Candidate Profile: The ideal candidate will be a highly detail-oriented , adaptable , and proactive individual with a strong work ethic and a commitment to accuracy and efficiency. You should possess excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.2 Essential Skills and Experience: Proficiency in Microsoft Excel: Demonstrated ability to utilize Excel for data entry, manipulation, analysis, and reporting. This includes working with formulas, spreadsheets, and data validation. Excellent Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally and effectively with clients and internal teams. CRM System Aptitude: Ability to quickly learn and navigate new software systems, specifically our CRM platform, to manage data and workflows efficiently. Efficient Handling of Administrative Duties: Proven ability to manage a variety of administrative tasks accurately and efficiently, ensuring smooth office operations. Detail-Oriented: Meticulous attention to detail and a commitment to accuracy in all aspects of work, particularly data entry and documentation. Adaptability: Ability to thrive in a dynamic environment, readily adapting to changing priorities and tasks. Proactive Approach: A self-starter with the ability to anticipate needs, identify potential issues, and take initiative to address them. Strong Organizational Skills: Excellent ability to organize and prioritize tasks, manage time effectively, and maintain organized records. Problem-Solving Skills: Ability to identify and resolve operational challenges effectively and efficiently. Team Player: Collaborative and able to work effectively within a team environment to achieve common goals. Preferred Skills (Optional): Experience in the real estate industry or a related field. Familiarity with specific real estate software or platforms. Basic understanding of real estate terminology and processes.
