Role Overview The Executive Assistant provides high-level administrative and operational support to senior executives, ensuring the smooth management of daily business activities and strategic initiatives. This role requires exceptional organizational, communication, and multitasking abilities, as the Executive Assistant serves as a trusted partner in managing schedules, coordinating meetings, preparing documents, and facilitating communication between departments and external stakeholders. Acting with professionalism and discretion, the Executive Assistant helps optimize executive productivity, maintain confidentiality, and enhance organizational efficiency. Key Responsibilities Manage and coordinate executive calendars, appointments, and travel arrangements, ensuring optimal time management. Prepare and edit correspondence, reports, presentations, and other professional documents. Act as the primary point of contact between the executive and internal or external stakeholders. Organize and facilitate meetings, including scheduling, agenda preparation, and follow-up on action items. Handle confidential information with discretion and maintain secure records and files. Support project management activities by tracking deadlines, deliverables, and milestones. Coordinate logistics for business trips, conferences, and corporate events. Screen and prioritize communications, emails, and phone calls, addressing routine inquiries independently when appropriate. Assist in expense management, including processing invoices, reimbursements, and budget tracking. Collaborate with administrative and departmental teams to ensure alignment and effective workflow. Prepare briefing materials and background research to support executive decision-making. Maintain an organized filing system for both physical and digital documents. Contribute to process improvement initiatives to enhance administrative efficiency. Represent the executive professionally in interactions with clients, partners, and stakeholders. Qualifications and Requirements Bachelor’s degree in Business Administration, Communications, Management, or a related field. 3–7 years of experience as an Executive Assistant, Administrative Coordinator, or similar role supporting senior leadership. Exceptional organizational and time management skills with the ability to prioritize multiple tasks effectively. Strong written and verbal communication skills with attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams, Zoom, or Slack. Ability to exercise discretion and maintain confidentiality in all business matters. Proven ability to work independently and proactively solve problems under minimal supervision. Excellent interpersonal skills for managing internal and external relationships. Strong judgment, initiative, and adaptability in fast-paced environments. Experience in project coordination or administrative process improvement is an advantage.
