Overview We are seeking a proactive Junior HR Executive to join our team. This entry-level role is ideal for a candidate looking to begin their career in HR and gain comprehensive experience in various HR functions. The Junior HR Executive will provide administrative support to the HR department and assist in the day-to-day operations of HR duties. Key Responsibilities The Junior HR Executive will report to the HR Manager and be responsible for a range of tasks, including: Recruitment & Onboarding Support: Assist in scheduling interviews, coordinating with candidates, and managing interview logistics. Prepare and process new hire paperwork, including employment contracts and necessary documentation. Coordinate the onboarding process to ensure new employees have a smooth transition into the company. HR Administration & Documentation: Maintain and update employee records and HR databases (both digital and physical) with accuracy and confidentiality. Prepare routine HR-related letters, such as appointment letters, confirmation letters, and separation documents. Manage HR filing systems and ensure compliance with data protection regulations. Employee Relations & Support: Act as the first point of contact for routine employee queries regarding HR policies, benefits, and administrative procedures. Assist in organizing company events, employee engagement activities, and training sessions. Support the performance management process by assisting with documentation and scheduling. Payroll & Benefits Assistance: Collect and verify necessary documentation for monthly payroll processing (e.g., attendance records, leave applications). Assist in the administration of employee benefits programs. Compliance & Policy: Ensure adherence to internal HR policies and assist in communicating policy updates to employees. Support the HR Manager in ensuring the company's compliance with local labor laws and regulations. Qualifications & Requirements Education: Any Bachelor's degree. Experience: 0-2 years of experience in an HR or administrative support role (internships count). Knowledge: Basic understanding of HR principles, labor laws, and best practices. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with HR Information Systems (HRIS) is a plus. Skills & Competencies Communication: Excellent verbal and written communication skills with the ability to interact professionally at all levels. Attention to Detail: Meticulous and highly accurate in documentation and record-keeping. Organization: Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines. Confidentiality: Demonstrated ability to handle sensitive and confidential information with discretion and integrity. Proactive: A willingness to learn, take initiative, and work independently as well as part of a team.
