Job Description – Assistant Facility Manager Position Overview The Assistant Facility Manager/ Facility Executive is responsible for overseeing the day-to-day operations of soft services within the facility, including housekeeping, cleaning, F&B services, mail room, and other support functions. The role involves supervising teams, coordinating with service providers, maintaining high standards of cleanliness and efficiency, and ensuring smooth operations in line with organizational and client expectations. Key Responsibilities · Supervise daily operations of soft services such as housekeeping, cleaning, and F&B. · Conduct regular inspections and audits to ensure cleanliness, hygiene, and overall facility upkeep. · Coordinate with external service providers and contractors for timely and efficient delivery of outsourced services. · Oversee daily mail room operations: receipt, sorting, distribution, and dispatch of mail, parcels, and courier items. · Monitor and maintain accurate records of incoming/outgoing mail and parcels, with special attention to high-value/time-sensitive items. · Manage stationery orders and issuance. · Supervise security and transport operations (if applicable). · Liaise with building management regarding cleaning, F&B, and other facility-related activities. · Handle and resolve service-related complaints promptly and professionally. · Track and monitor inventory and usage of consumables (where applicable). · Prepare reports, maintain documentation, and participate in regular management/client meetings. Qualifications & Experience · High school diploma or equivalent (Bachelor’s degree preferred). · Minimum 3–5 years of experience in a similar supervisory role within facilities management, hospitality, or related field. · Prior experience in managing outsourced service providers preferred. · Proficiency in computers and basic MS Office applications. Working Conditions · Flexibility to work in shifts, weekends, and public holidays as per operational requirements. · Role requires physical movement around premises for inspections and supervision.
