Job Description – Assistant Facility Manager Position Overview The Assistant Facility Manager/ Facility Executive is responsible for overseeing the day-to-day operations of soft services within the facility, including housekeeping, cleaning, F&B services, mail room, and other support functions. The role involves supervising teams, coordinating with service providers, maintaining high standards of cleanliness and efficiency, and ensuring smooth operations in line with organizational and client expectations. Key Responsibilities · Supervise daily operations of soft services such as housekeeping, cleaning, and F&B. · Conduct regular inspections and audits to ensure cleanliness, hygiene, and overall facility upkeep. · Coordinate with external service providers and contractors for timely and efficient delivery of outsourced services. · Oversee daily mail room operations: receipt, sorting, distribution, and dispatch of mail, parcels, and courier items. · Monitor and maintain accurate records of incoming/outgoing mail and parcels, with special attention to high-value/time-sensitive items. · Manage stationery orders and issuance. · Supervise security and transport operations (if applicable). · Liaise with building management regarding cleaning, F&B, and other facility-related activities. · Handle and resolve service-related complaints promptly and professionally. · Track and monitor inventory and usage of consumables (where applicable). · Prepare reports, maintain documentation, and participate in regular management/client meetings. The Multi-Skilled Technician is responsible for performing preventive, predictive, and corrective maintenance activities for all building systems, including electrical, mechanical, plumbing, HVAC, and general civil works. The role ensures smooth facility operations, safety compliance, and uninterrupted service for clients and building occupants. Key Responsibilities 1. Electrical Maintenance Troubleshoot and repair electrical panels, breakers, DBs, MCC panels, wiring, lighting circuits, and power distribution. Perform preventive maintenance of LT systems, ACB/MCB/MCCB, UPS, DG, and earthing. Attend electrical complaints on priority and ensure minimum downtime. 2. Mechanical & HVAC Systems Operate and maintain chillers, AHUs, FCUs, ventilation systems, pumps, and motors. Conduct routine inspections, filter cleaning, belt adjustments, and lubrication. Monitor temperature controls and ensure optimized HVAC performance. 3. DG & Fire Systems (Basic Knowledge) Monitor DG operation, fuel levels, and basic troubleshooting. Assist in maintenance of fire alarm system, sprinklers, hydrants, and extinguishers. 54 Preventive Maintenance Carry out monthly/quarterly PM activities as per schedule. Document checklists, service reports, and maintain maintenance logs. 7. Facility Operations Support Coordinate with vendors and contractors for specialized services. Provide technical support during shutdowns, breakdowns, and emergency work.
