Job Title: Apartment Supervisor (Known locally as "Flat Supervisor") Location: Marine Drive Ernakulam, Kerala Reports to: Alliance Residency Owners' Welfare Association (AROWA) Managing Committee / President / Secretary Key Responsibilities: 1. Administrative & Financial Management: Maintain all records and documentation related to the apartment complex, including resident directories, vendor contracts, and maintenance logs. Handle communication between the AROWA committee and residents through notices, circulars, and WhatsApp groups. Ensure the collection of monthly maintenance charges from residents and follow up on dues. Manage petty cash for daily expenses and maintain accurate accounts for all expenditures. Obtain quotes from vendors for various services and projects. 2. Maintenance & Upkeep: Conduct daily rounds to inspect common areas, including lobbies, corridors, staircases, parking areas, gardens, and the building exterior. Supervise and coordinate the work of housekeeping staff, gardeners, security guards, and other maintenance personnel. Schedule and oversee periodic pest control activities. Manage the proper functioning of elevators, water pumps, generators, and electrical systems, coordinating with technical staff for repairs. Oversee the maintenance of swimming pools, clubhouses, and gyms (if applicable). Ensure proper water management, including the timely filling of overhead tanks and monitoring of sump levels. Manage waste disposal and ensure compliance with local municipal rules. 3. Security & Safety: Supervise the security guard team to ensure 24/7 vigilance. Monitor CCTV systems. Manage entry and exit of visitors, domestic helpers, and delivery personnel, maintaining a logbook. Ensure all fire safety equipment (extinguishers, hoses, alarms) are in place and periodically inspected. Implement and enforce society rules and regulations for the safety and comfort of all residents. 4. Vendor & Stakeholder Management: Liaise with external service providers such as plumbers, electricians, elevator maintenance companies, and civil contractors. Supervise the work of contractors to ensure quality and timely completion. Be the first point of contact for resident complaints and service requests, addressing them promptly or escalating them to the AOA committee. 5. Compliance: Ensure the complex complies with local government regulations (e.g., from the Cochin Corporation). Keep records of all compliance-related certificates and inspections. Qualifications and Experience: Minimum of a High School Diploma (Plus Two); a degree or diploma in facility management is a plus. Proven experience of 2-5 years as an Apartment Supervisor, Building, Supervisor, or in a similar property maintenance role. Experience in managing staff (security, housekeeping, etc.). Working Conditions: Typically, a 6-day work week between 9.00am to 5.30pm. Must be available on-call for emergencies. Accommodation within the complex may be provided if required.
