Oversee the operational finance function of the entire organization, ensuring adherence to financial policies, procedures, and regulations. Prepare and maintain monthly cash flow analysis to monitor cash inflows and outflows, ensuring optimal cash management. Analyze monthly financial statements, including budget versus actuals, and convey the analysis to the reporting manager and departmental heads for informed decision-making. Assist in preparing the annual budget for the organization, collaborating with relevant stakeholders to ensure alignment with organizational goals. Assist program team/Resource mobilisation team in donor due diligence and compliance. Provide necessary assistance to Head of Finance in Internal and external Audit Prepare and review periodic donor utilization certificates (monthly/quarterly/annually) before submission to donors, ensuring accuracy and compliance with donor requirements. Ensure timely submission of donation receipts to Resource mobilisation team/Program Manager. Prepare and share Grant fund request as per MOU to donor management team/Program Manager. Review monthly bank reconciliation statements, identify discrepancies, and follow up with project accountants/accounts executives for resolution. Liaise with auditors for donor utilizations, interim audits, and year-end audits, providing necessary assistance and documentation. Prepare documents for scrutiny matters as per tax consultant's advice, ensuring compliance with tax regulations. Liaise with banks for matters related to the organization, including account management and transactional issues. Prepare, monitor, and ensure timely submission of all statutory payments and returns such as TDS, PF, PT. Monthly payroll processing on the basis of HRM data shared by HR department. Prepare necessary documents for submitting to Organisation’s Lawyer for Charity Commissioner reporting, including change reports, annual budgets, and audited accounts. Prepare necessary documents for submitting to Tax Consultants for online FCRA returns (annually) and forms such as change reports, ensuring compliance with FCRA regulations. Undertake periodic monitoring visits to project locations to assess financial compliance and provide support as needed. Ensure operational compliance with organizational policies, procedures, and regulations, taking the lead in implementing finance process improvements. Ensure regional tally companies are updated in Head Office's main tally system on monthly basis. Supervise and lead the project finance team, providing guidance, support, and training as necessary. Set Key Performance Indicators (KPIs) for the team and conduct periodic appraisals and reviews to ensure performance targets are met.
