Job Description: Position Overview: We are looking for a highly organized and friendly individual to serve as the face of our clinic and manage administrative tasks. The Receptionist and Administrator will be responsible for handling all front desk duties, including greeting patients, scheduling appointments, managing phone calls and emails, processing payments, and maintaining patient records. Additionally, this role will involve providing administrative support to ensure the smooth operation of the clinic. Key Responsibilities: Greet patients in a warm and professional manner, ensuring they feel welcome and comfortable. Schedule appointments for patients, coordinating with physiotherapists to optimize scheduling efficiency. Answer phone calls and emails promptly and professionally, providing information and assistance as needed. Verify patient insurance coverage and process payments accurately. Maintain patient records and ensure all information is up-to-date and accurate. Manage filing systems and organize paperwork to ensure efficient record-keeping. Assist with billing and invoicing tasks as required. Coordinate with other team members to ensure smooth patient flow and efficient clinic operations. Keep the reception area clean and organized at all times. Provide administrative support to physiotherapists and other staff members as needed. Adhere to clinic policies and procedures, including patient confidentiality guidelines. Continuously strive to improve customer service and patient satisfaction. Qualifications: High school diploma or equivalent required; additional education or training in office administration or healthcare administration preferred. Previous experience in a medical or healthcare setting is highly desirable. Excellent communication and interpersonal skills, with the ability to interact effectively with patients and staff. Strong organizational skills and attention to detail. Proficiency in computer skills, including experience with electronic medical records (EMR) systems and Microsoft Office Suite. Ability to multitask and prioritize tasks in a fast-paced environment. Professional demeanor and positive attitude. Ability to maintain confidentiality of patient information.
