Job Title: Administrative executive Location: North - Goa ( Sangolda ) Type: Full-Time Job Summary: The Administrative executive plays a crucial administrative role in ensuring the smooth day-to-day functioning of the school. This role involves coordination with vendors, staff, parents, and government authorities. The position supports logistics, documentation, compliance, material procurement, and internal communication, contributing significantly to the school’s effectiveness and service quality. Key Responsibilities: 1. Government Liaison Attend Government of Goa sessions and meetings related to school compliance as and when notified. Update and validate student data in coordination with government portals. Generate IDs for staff and students via government platforms. 2. Vendor and Material Management Share color prints with the designated vendor and verify end-of-month invoices. Order and manage event materials to support seamless execution of school functions. Collect and fulfill stationery requisitions from mentors and distribute accordingly. Order and issue staff planners and uniforms (new and exchange) in coordination with the vendor. 3. Student Logistics & Documentation Distribute journals, planners, home cards, and car stickers to new admissions. Assist with Cambridge consignments, maintain registers, and submit billing details to the Exam Officer. 4. Administrative Support Handle printing of documents ensure materials are ready for meetings. Maintain the inward and outward register for goods and materials. Maintain and organize property documents. 5. Parent and Student Services Communicate dispersal instructions clearly to parents during student pick-up. Issue Bonafide and School Leaving Certificates as requested. Prepare Forms and documentation support for International students. Maintain and update records for Cambridge shipments. Explain school uniform brochures to parents and oversee uniform distribution and exchange processes. Qualifications: Bachelor’s degree in administration, management, or a related field. 2+ years of experience in school administration or operations preferred. Proficiency in MS Office, MS Teams, document handling, and data entry. Familiarity with government education portals is an advantage. Work Environment: The role is based on-site and may involve occasional travel within Goa for government sessions or procurement. Collaborative work with school leadership, teaching staff, support staff, and external vendors.
