We are seeking a proactive, highly organized, and discreet Executive Assistant (EA) to provide comprehensive administrative and strategic support to the Director . The ideal candidate will be a polished professional who thrives in a fast-paced environment, manages multiple priorities with ease, and serves as the Director’s right hand in ensuring smooth business operations and effective decision-making. Key Responsibilities Executive Support: Manage and maintain the Director’s calendar, appointments, and travel arrangements. Prioritize and handle correspondence, emails, calls, and confidential documents with discretion. Prepare meeting agendas, presentations, and minutes for internal and external meetings. Track and follow up on key action items and deadlines. Operational & Administrative Coordination: Liaise with department heads, consultants, and external partners on behalf of the Director. Assist in budget tracking, expense reporting, and procurement coordination. Support planning and execution of internal reviews, audits, and strategic initiatives. Maintain records, reports, and dashboards relevant to operations and performance. Communication & Stakeholder Management: Act as a communication bridge between the Director and staff, clients, vendors, and hospital partners. Draft high-quality business correspondence, reports, and memos. Maintain confidentiality and professionalism in all interactions. Project Support: Coordinate special projects, new initiatives, and business development activities. Research and prepare briefing materials and background documents. Qualifications & Skills Education: Bachelor’s degree in Business Administration, Healthcare Management, or a related field. Experience: Minimum of 1-2 years in an Executive Assistant or Senior Administrative role supporting top leadership. Technical Skills: Proficient in MS Office Suite (Excel, PowerPoint, Outlook, Word). Familiarity with healthcare/diagnostic operations preferred. Professional Attributes: Exceptional organizational and multitasking abilities. Strong written and verbal communication skills. High level of integrity, confidentiality, and emotional intelligence. Ability to work independently and under pressure with a sense of ownership.
