Position Summary We are looking for a Receptionist / Computer Operator who is organized, computer-proficient, and customer-focused. The role includes managing front-desk duties, updating records, and ensuring smooth patient service. Key Responsibilities:- Front Desk & Reception Greet and welcome patients, visitors, and vendors with a warm and professional demeanor. Handle incoming telephone calls, responding to/incoming calls and transferring or redirecting as needed. Manage walk-ins, guide patients, and provide clear information about hospital procedures and departments. Appointment Scheduling & Coordination Schedule, reschedule, and confirm patient appointments, ensuring alignment with doctors' availability. Maintain the appointment calendar proactively to minimize delays and ensure smooth patient flow. Patient Registration & Record Management Register new patients, updating or verifying personal and demographic information in the database. Scan and upload documents (e.g., ID, insurance papers), maintain digital and physical file systems. Billing & Payment Support Assist with basic billing procedures-collect payments, generate receipts, and manage a petty-cash drawer or POS terminal (if applicable). Coordinate with the billing department for outstanding balances or inquiries (if required). Computer Operations & Office Administration Perform data entry and manage electronic medical records (EMR) accurately and securely. Respond to email inquiries, maintain office communications, and support administrative staff as needed. Ensure supply inventory (stationery, forms, etc.) is monitored and re-ordered timely. Customer Service & Communication Provide high-quality support-address patient queries, escalate as necessary to relevant departments. Showcase empathy, calm communication, and professionalism at all times. Qualifications Education: Minimum: High school diploma; Diploma/Degree in Office Administration, Computer Applications, or equivalent preferred. Experience: 1–3 years in a receptionist or front-desk role-preferably within a hospital or clinical environment. Proficiency with MS Office (Word, Excel, GMAIL) and willing to learn hospital software systems or EMR. Excellent verbal and written communication. Strong interpersonal skills: organized, detail-oriented, patient, and calm under pressure. Flexible with shifts-morning/day/rotational as needed. Key ResponsibilitiesPatient Flow & Service Management Supervise and manage day-to-day hospital floor operations to ensure smooth patient service. Monitor patient flow, minimize waiting times, and coordinate with doctors and reception staff. Handle patient escalations with professionalism and empathy. Staff Supervision & Coordination Oversee the performance of receptionists, nursing staff, and support staff on the floor. Assign duties, manage schedules, and ensure adherence to hospital policies. Conduct periodic briefings to align staff with hospital goals and service standards. Administrative & Operational Oversight Ensure proper documentation, patient records, and compliance with hospital protocols. Coordinate between reception, billing, nursing, and medical teams for efficient functioning. Monitor cleanliness, safety, and availability of medical/non-medical supplies on the floor.
