Senior Executive - Administration

Role & responsibilities

Key responsibilities include:

Company Vehicle Management

• Oversee scheduling and deployment of company-owned and leased vehicles for employee transport, logistics, and material movement.
• Maintain logs for vehicle usage, fuel consumption, driver duty rosters, and route optimization.
• Ensure timely renewal of vehicle insurance, permits, pollution certificates, and RTO documentation.
• Monitor GPS tracking systems and vehicle maintenance schedules to minimize downtime.
• Coordinate with drivers to ensure discipline, adherence to safety protocols, and uniformity.

Landscaping & Horticulture Maintenance

• Supervise daily upkeep of green zones, gardens, lawns, and indoor plants across plant and office premises.
• Coordinate with horticulture vendors or gardeners for planting, pruning, watering, fertilization, and pest control.
• Plan seasonal plantations, flowerbed beautification, and green belt improvement initiatives.
• Ensure cleanliness of landscaped areas and the safe use of water resources.

Vendor Management

• Liaise with service providers for vehicle servicing, fuel supply, garden maintenance, and related contracts.
• Ensure adherence to service-level agreements (SLAs), performance standards, and timely delivery.
• Verify service completion and coordinate invoice approvals and payments.

Compliance, Safety & Documentation

• Ensure compliance with internal transport and landscaping safety standards, including driver licensing and the use of protective equipment.
• Maintain updated documentation for vehicle maintenance logs, landscaping activity records, and vendor contracts.
• Support audit readiness by organizing all administrative records related to assigned functions.

Reporting & MIS

• Submit daily, weekly, and monthly reports on vehicle usage, fuel expenses, and garden upkeep.
• Track cost and resource utilization, ensuring adherence to the administrative budget.
• Identify and implement cost-saving initiatives within transport and landscaping functions.
