As a dedicated Administrative Coordinator at MDPI, you will play a crucial role in ensuring the efficient and smooth operation of the office. Your responsibilities will encompass a wide range of tasks, from reception and front desk management to financial and invoice management, employee support, and office facility oversight. You will be the first point of contact for visitors, providing a professional and welcoming experience while managing incoming calls and maintaining office security protocols. Additionally, you will offer administrative support to employees, handling queries related to attendance, leave policies, and benefits. Your role will involve coordinating interdepartmental workflows, ensuring seamless communication and timely task completion. You will also assist in managing procurement activities, sourcing suppliers, and overseeing purchase orders. Furthermore, your proactive mindset and ability to work independently will be essential as you assist in arranging business travels, coordinating meetings, and optimizing internal data systems for efficient record-keeping. You will also take the lead in organizing staff events and large-scale corporate initiatives, aligning them with the company's objectives. To excel in this role, you should possess at least 3 years of experience, a Bachelor's Degree, and strong English communication skills. Proficiency in computer literacy, particularly in Excel pivot table and/or Vlookup, will be advantageous. Your ability to prioritize tasks, establish effective working relationships, and maintain confidentiality with professionalism will be key to your success in this fast-paced environment.
