The Hospital Administrator will be responsible for handling all administrative functions of the hospital, ensuring compliance with medical regulations, managing hospital finances, supervising infrastructure maintenance, coordinating external events, and assisting the Managing Director with executive tasks. The role requires strong leadership, organizational skills, and the ability to handle multiple responsibilities efficiently. Role & responsibilities 1. Hospital Operations & CoordinationSupervise daily operations of the hospital, ensuring smooth functioning across all departments like Optical, Pharmacy, etc.Act as a bridge between doctors, nurses, technicians, and support staff, ensuring clear communication and efficiency.Establish standard operating procedures (SOPs) for better workflow and patient management.Address patient grievances promptly and improve the patient experience. Maintain a safe, clean, and organized environment in the hospital.2. Regulatory Compliance & LicensingEnsure the hospital complies with all government healthcare regulations, NABH/NABL accreditation standards, and other statutory requirements.Manage and renew hospital licenses related to health, sanitation, fire safety, and environmental regulations.Ensure timely tax filings and documentation for hospital operations.Prepare, submit, and follow up on permits and approvals required from government authorities.3. Financial & Facility ManagementOversee and approve hospital bill payments (electricity, generator, water, waste disposal, maintenance, etc.)Work with finance teams to ensure cost-effective operations while maintaining high service qualityNegotiate and manage contracts with vendors and suppliers for hospital essentials (medical equipment, consumables, security services, housekeeping, etc.).Monitor hospital maintenance and ensure timely repairs of infrastructure, medical equipment, and other assets.4. Event & Outreach CoordinationOrganize medical camps in different locations for free/affordable eye check-ups.Plan and coordinate conferences, workshops, and awareness programs for eye care professionalsDevelop relationships with local NGOs, corporate sponsors, and government health departments to collaborate on medical initiativesPromote hospital services through community engagement programs.5. Hospital Expansion & PermissionsAssist in the planning, execution, and management of hospital expansion projects (e.g., adding new departments, increasing patient capacity)Obtain necessary approvals from municipal corporations, pollution control boards, and other relevant authorities for infrastructure changesWork closely with architects and contractors to ensure timely completion of expansion projects.6. Executive Assistance & Administrative SupportProvide administrative support to the Head Doctor/Managing Director, including scheduling appointments, handling correspondence, and coordinating meetings.Ensure proper documentation and record-keeping of important hospital decisions and operational changesAssist in HR-related tasks like recruiting administrative staff, payroll processing, and employee welfare management.7. Hostel Administration (for PG Students)Manage hostel facilities for postgraduate students residing on the hospital premises.Ensure the hostel maintains proper hygiene, safety, and discipline standards.Coordinate with students regarding their needs, facilities, and grievance redressal.Maintain inventory and supplies for hostel residents.Preferred candidate profile Mandatory: Completed 12th standard (Higher Secondary Education)Preferred: Bachelor's degree (not mandatory)Experience: 5-8 years in hospital administration or healthcare managementLanguages: Fluent in English and local language (Bengali/Hindi) to communicate with patients and staffComputer Proficiency: Strong working knowledge of MS Office, hospital management software, and digital documentationOther Skills: Strong sense of ownership, problem-solving ability, leadership, and multitasking skillsGood to Have: Ability to drive a two-wheeler for local coordinationPreferably from Kolkata or nearby areas for ease of commute.
