Role & responsibilities Air Shipment Coordination: Coordinate air shipments with international freight forwarders and courier partners. Track air cargo movements and ensure timely delivery to destinations. Assist in choosing the right courier/airline based on cost, reliability, and urgency. Air Freight Documentation: Support preparation and verification of air shipment documents, including: • Commercial Invoice • Airway Bill (AWB) • Packing List • Certificate of Origin (if required) • Product-related documents (IFU, labels, MSDS) • Ensure all documents comply with air cargo and customs regulations. Vendor and Forwarder Coordination: Liaise with air freight forwarders for bookings, pickups, and customs clearance. Maintain communication with destination partners or recipients regarding expected delivery timelines. Marketing Support: Align air shipments with key marketing events, congresses, and demo schedules. Ensure delivery of promotional items or samples in coordination with the marketing team. Data Entry & Reporting: Maintain detailed records of all air shipments, including costs and delivery status. Assist in preparing basic reports for internal tracking and audits. Regulatory Knowledge: Stay up to date on international trade laws, import/export restrictions, Incoterms, and documentation changes. Cost & Freight Rate Negotiation: Negotiate rates and contracts with carriers and freight companies. Optimize costs while maintaining quality and delivery timelines. Domestic Logistics: Plan, schedule, and track domestic deliveries from warehouses to customers, distribution centers, or retail locations and ensure on-time, in-full (OTIF) deliveries. Create and maintain daily dispatch and delivery schedules and ensure proper documentation accompanies each shipment (delivery notes, Invoices, waybills, etc.). Serve as the key liaison between warehouse teams, sales, customer service, and transport providers. Enforce health, safety, and environmental policies during transit and handling. Skills & Attributes: • Strong communication skills, both verbal and written. • Understanding of basic air freight and customs procedures. • Attention to detail in documentation (to prevent costly documentation errors). • Proficiency in MS Office. • Willingness to learn logistics and shipping related works. • Time management and multitasking ability.
