Job Description Personal Assistant A Personal Assistant (PA) to a General Manager primarily provides high-level administrative support, coordinating meetings, handling technical correspondence, preparing reports, and ensuring smooth operation of technical projects, often requiring a good understanding of technical terminology and project management principles. Key responsibilities may include: Communication Management: Answering emails, filtering and prioritizing messages for the General Manager. Drafting and preparing technical correspondence, reports, and presentations. Liaising with internal and external technical teams, clients, and vendors. Project Support: Assisting in project planning and tracking, including timelines, milestones, and budgets. Creating and maintaining project documentation, such as technical specifications, design drawings, and project reports. Coordinating with different technical teams to ensure project deliverables are met. Administrative Tasks: Managing expense reports and invoices related to technical projects. Maintaining technical databases and filing systems Arranging technical training and conferences Preparing meeting agendas and taking minutes Technical Understanding: Familiarity with technical jargon relevant to the industry (e.g., engineering, software development, manufacturing) Ability to understand technical documents and reports to effectively support the General Manager Required Skills: Preferably the candidate should be married lady in age group of 30+ who has settled in Surat. She must have work experience of 4-5 years in any builder, architect or contractor office. Excellent organizational skills: Ability to manage multiple tasks and prioritize effectively. Strong communication skills: Clear and concise written and verbal communication with both technical and non-technical stakeholders (look for throughout English medium student) Attention to detail: Ensuring accuracy in technical documents and reports. (Minimum BE (Civil), experience in estimating, rate analysis, study of drawings with a view for smooth operation at site. Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint. AutoCAD knowledge is must, proficiency will be added advantage. Ability to work independently and as part of a team: Balancing individual tasks with collaborative project needs. Discretion and confidentiality: Handling sensitive technical information appropriately.
