Job Overview We are seeking a dynamic Sales Executive to join our team. The ideal candidate will be responsible for driving sales and revenue growth through effective communication and relationship building. Job Title: Sales Coordinator Job Location: Plot No. 158-159P, Bommasandra Jigani Link Rd, KIADB Industrial Area, Bengaluru, Jigani, Karnataka 562106 Job Type: Full-Time / Permanent ✅ Job Summary: The Sales Coordinator is responsible for coordinating sales activities, maintaining regular communication with customers, and ensuring smooth execution of order dispatches. The role involves providing timely updates to customers regarding material readiness, managing packing and delivery requirements, arranging transportation, and ensuring accurate billing as per the purchase order (PO). This position requires excellent organizational, communication, and coordination skills to support the sales and logistics teams effectively. ✅ Key Responsibilities: Customer Communication: Make regular calls to customers to inform them about material readiness for dispatch. Follow up daily with customers regarding their packing requirements, delivery schedules, and special instructions. Maintain accurate records of customer interactions, requests, and confirmations. Material Readiness & Dispatch Coordination: Coordinate with production and warehouse teams to track the status of material readiness. Ensure that materials are prepared as per the agreed schedule and customer specifications. Notify customers in advance about material availability for lifting. Packing Coordination: Collect and confirm customer packing instructions, special packaging requirements, and quantity specifications. Ensure that packing is done in compliance with customer needs and internal quality standards. Logistics and Vehicle Arrangement: Arrange vehicles for material lifting and ensure vehicle availability as per schedule. Inform customers about vehicle dispatch, expected arrival time, and any delays. Track and update vehicle movements and ensure proper handover at customer locations. Billing & Documentation: Ensure timely and accurate billing as per the purchase order terms. Cross-check the PO for price, tax structure, and terms before issuing invoices. Ensure all relevant documentation (delivery challans, tax invoices, packing lists) is prepared and shared with the customer. Follow-Up and Issue Resolution: Maintain daily follow-up with customers to track material lifting and resolve any pending issues. Address customer queries regarding delivery status, packing details, or billing discrepancies. Work closely with the finance and logistics departments to resolve discrepancies in billing, delivery, or documentation. Reporting: Prepare daily and weekly reports on material dispatch status, pending deliveries, billing issues, and customer feedback. Highlight any risks or potential delays to the Sales Manager. ✅ Required Skills & Qualifications: Bachelor’s Degree in Business Administration, Sales, or related field preferred. Minimum 1-3 years of experience in sales coordination, logistics, or customer service. Strong communication skills (verbal and written). Good knowledge of MS Office (Excel, Word). Ability to multitask and work under pressure in a fast-paced environment. Detail-oriented and organized with strong problem-solving skills. Good understanding of billing and purchase order terms. ✅ Preferred Attributes: Proactive and self-motivated. Strong interpersonal skills. Ability to build positive customer relationships. Prior experience in industrial sales, manufacturing, or material dispatch coordination is a plus.
