About the Role We are looking for a highly organized and proactive Senior Admin Executive to manage day-to-day administrative operations and ensure smooth functioning across departments. The ideal candidate should be detail-oriented, reliable, and capable of handling responsibilities with minimal supervision. Key Responsibilities Executive and Administrative Support Provide high-level administrative assistance, including managing the VP’s calendar, correspondence, and travel arrangements. Prepare and edit reports, presentations, proposals, and other business documents. Maintain organized records, files, and documentation for easy reference. Handle confidential and sensitive information with discretion. Strategic Coordination: Coordinate complex projects, meetings, and events to ensure seamless execution. Prepare presentations and materials for review and strategy meetings. Follow up on key deliverables and ensure timely responses to daily correspondence and emails. Collaborate with the VP to ensure all departments are aligned and well-informed. Communication and Liaison: Serve as the primary point of contact between the VP, executives, staff, and external stakeholders. Draft professional communications and correspondence on behalf of the VP. Coordinate with HR on recruitment and other staffing matters as directed by the VP. Operational Oversight: Oversee general administration and supervise the housekeeping team according to VP guidelines. Track and follow up on license renewals to ensure compliance and timely renewal. Review P&L statements in coordination with the VP to monitor financial performance. Organize meetings, conferences, and special events, ensuring all details are executed flawlessly. Social Media and Content Management Manage and monitor the organization’s social media accounts, ensuring consistent engagement. Create and curate content (text, images, and graphics) for social media platforms. Design visual materials, including graphics, brochures, posters, and presentations. Added advantage. Engage with the online community by responding to comments, messages, and reviews. Key Skills and Competencies Exceptional Organizational Skills: Ability to prioritize, multitask, and maintain attention to detail. Communication Skills: Excellent written and verbal communication; able to interact effectively with senior leaders and external partners. Confidentiality & Discretion: Trusted to handle sensitive information responsibly. Technical Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools. Social Media Expertise: Knowledge of account management, analytics, and engagement strategies. Creativity: Strong visual design sense; capable of creating engaging visual and presentation content. Professionalism: High level of integrity, judgment, and executive presence. Schedule meetings with social media team, and be a part & monitor their performance. Need to have willingness to learn and support the team. Need to oversee all projects VP is involved.
