Role & responsibilities General Accounting & Bookkeeping Maintain accurate financial records using QuickBooks Online and Desktop . Manage day-to-day bookkeeping, journal entries, and monthly account reconciliations. Perform bank, credit card, and payroll reconciliations. Client Billing & Timesheet Management Generate invoices based on contractor timesheets and billing agreements (hourly/SOW). Ensure accurate billing cycles and track receivables and aging reports. Payroll & Contractor Payments Process W-2 and 1099 payroll for internal staff and consultants using payroll platforms like ADP, Paychex, or Gusto. Handle multi-state payroll taxes and ensure accurate and timely filings. Tax Compliance & Filings Manage federal and state tax filings: 1099s, W-2s, payroll taxes , and coordinate with CPA for quarterly/annual tax submissions. Maintain compliance with IRS regulations and U.S. employment classifications. Reserve Sheet Maintenance Create and update reserve sheets to track future payables for consultants, expected revenue, and gross margins. Collaborate with operations and sales teams to forecast revenue and liabilities. Track cash flow impacts based on contract end dates, markups, and unpaid liabilities. Financial Reporting & Analysis Prepare monthly and quarterly financial reports (P&L, Balance Sheet, Cash Flow) . Use Excel for data analysis, forecasting, and building financial dashboards. Conduct variance analysis and flag financial risks based on reserves and collections. Year-End Audit & CPA Coordination Support internal and external audits, ensure all records and documentation are audit-ready. Work closely with CPA for tax preparation and annual compliance. Preferred candidate profile Education : Bachelors in Accounting, Finance, or related field Experience : 25 years in U.S. accounting, preferably in IT staffing or consulting QuickBooks : Expert-level in both Online and Desktop versions Excel : Strong experience with PivotTables, VLOOKUP, formulas, and financial modeling Payroll & Compliance : Strong understanding of W-2, 1099, payroll taxes, multi-state filings GAAP : Working knowledge of U.S. accounting standards Reserve Sheet Experience : Familiar with tracking margins, contractor payouts, and revenue forecasting Communication : Strong ability to coordinate with internal teams, clients, and external accountants
