Job Summary

La Densitae Clinic Ltd. is looking for a proactive, customer-oriented, and well-organized Center Manager cum Front Desk Executive to manage daily clinic operations while ensuring a smooth and professional patient experience. The candidate will be responsible for front desk management, patient coordination, appointment scheduling, staff coordination, sales support, and overall clinic administration.

The ideal candidate should have strong communication, organizational, customer service, and team management skills, preferably with experience in healthcare, clinics, hospitals, or service-oriented industries.

Key Responsibilities

1. Front Desk & Patient Management

• Welcome and attend to patients and visitors professionally.
• Manage patient registrations, appointments, walk-ins, and follow-up schedules.
• Handle incoming calls, WhatsApp inquiries, and patient queries.
• Coordinate patient consultations with doctors and clinical staff.
• Maintain patient records, consultation details, and appointment databases.
• Ensure a positive patient experience and address concerns promptly.

2. Center Operations & Administration

• Manage the day-to-day operations of the clinic.
• Ensure the clinic reception, waiting area, and consultation spaces are maintained properly.
• Monitor staff attendance, duty schedules, and daily operational activities.
• Maintain administrative records, reports, and documentation.
• Coordinate with housekeeping, clinical teams, and management to ensure smooth functioning.
• Ensure compliance with clinic protocols, hygiene standards, and operational procedures.

3. Sales & Business Coordination

• Support the team in converting patient inquiries into consultation appointments.
• Follow up with prospective patients and existing patients as required.
• Maintain inquiry records, lead follow-ups, and daily conversion reports.
• Assist in achieving clinic targets related to consultations, patient footfall, and revenue.
• Coordinate with the central sales and marketing teams for lead management and patient engagement.

4. Team Coordination & Reporting

• Coordinate with doctors, nurses, technicians, and other clinic employees.
• Prepare daily reports covering appointments, patient footfall, inquiries, and collections, as applicable.
• Escalate operational issues and patient complaints to the appropriate authority.
• Ensure adherence to company policies and service standards.
• Support management in improving clinic efficiency and patient satisfaction.

5. Cash Handling & Billing Support

• Assist with patient billing, payment collection, receipts, and daily cash reconciliation, as assigned.
• Maintain accurate payment records and coordinate with the accounts team.
• Ensure proper documentation of transactions and timely reporting of discrepancies.

Eligibility Criteria

• Education: Graduate in any discipline; healthcare administration, business administration, or management qualifications will be an advantage.
• Experience: 1–4 years of experience in front desk management, clinic administration, hospitality, retail operations, or customer service.
• Experience in a clinic, hospital, dermatology, cosmetology, or hair restoration center will be preferred.
• Strong verbal and written communication skills.
• Basic computer knowledge, including MS Office, Excel, email, and appointment management systems.
• Good organizational, problem-solving, and multitasking abilities.
• Customer-focused attitude with professional presentation and interpersonal skills.
