Position: Invoice Coordinator Profile : 2 years of experience in similar field. Competencies : Excellent communication skills, Expert in MS Office & SAP, Values, Customer Support, Punctual & disciplined, Team Player. Tasks: · Preparing Sales Order based on the LPO. · Acknowledging the LPO. · Ensure the LPO price and Quoted price are correct. · If the delivery period (Customer LPO) is below than the quotation it has to be informed to the concerned and make changes. · Prepare the delivery note, invoices and other documents such as warrantee letter, PPM, Installation report etc. · Prepare stock transfers, stock adjustment, goods issue with necessary approval from the concern authority. · Prepare goods return vouchers with necessary documents. · Submission of Sales Invoice through online wherever is applicable. · Make sure timely submission of the invoices with necessary documents. · Reconciliation of invoices and submit the status weekly to the reporting manager. · Filing of the acknowledged invoices & delivery note and update the invoice submission status and forward to the reporting manager on weekly basis. Job Purpose: The Logistics & Procurement Coordinator will be responsible for managing all logistics and procurement operations across multiple countries, with a strong focus on Indian import and export procedures . This role requires hands-on experience in customs clearance, shipping documentation, and international procurement coordination. The candidate will act as a key link between the procurement, logistics, and sales teams to ensure smooth order processing, timely delivery, and accurate documentation. Gender-Male Key Responsibilities: Procurement Coordination Coordinate between procurement and sales teams across three countries to ensure accurate and timely order fulfillment. Handle local purchase orders based on requests from country sales teams and ensure proper vendor follow-up and documentation. Manage international procurement by coordinating with procurement executive and secure goods. Prepare and process Goods Receipts (GRNs) for all Local Purchase Orders (LPOs). Prepare and process corresponding invoices for all LPOs, ensuring accuracy and proper documentation. Maintain complete procurement records and ensure adherence to company policies and compliance requirements. Logistics & Customs Manage end-to-end Indian import and export operations , ensuring full compliance with Indian customs and DGFT regulations. Prepare and review customs documentation , including invoices, packing lists, shipping bills, and BOEs. Liaise with freight forwarders, CHA (Customs House Agents), and transporters to ensure smooth clearance and delivery of shipments. Monitor shipment schedules, resolve clearance issues, and ensure timely movement of goods. Ensure all import/export documentation is accurate and filed systematically for audit and reference purposes. General Support Coordinate with warehouse and Supply chain teams for receipt, inspection, and billing of goods. Track inventory updates related to international and local purchases. Support management with reports on shipment status, purchase tracking, and cost analysis. Suggest improvements in logistics and procurement workflows to enhance efficiency. Qualifications & Skills: Bachelor’s degree in Supply Chain Management, Logistics, International Trade, or related field. Minimum 1-2 years of experience in Indian import/export operations , including customs clearance, documentation, and coordination with CHAs. Strong understanding of Indian import/export laws, HS codes, DGFT procedures, and customs duty structures. Experience in coordinating procurement and logistics across multiple countries. Excellent communication, coordination, and negotiation skills. Proficiency in MS Office and ERP systems (SAP, Oracle, or similar). Strong attention to detail, with the ability to manage multiple priorities effectively. Preferred Attributes: Prior experience in the medical equipment, healthcare, or trading industry .
