Role Summary The Head of Administration (Admin Head) is responsible for overseeing all non-academic, administrative, operational, financial, and compliance functions of the Basil Woods Primary School (Grades 1-5). The Admin Head ensures the school provides a safe, efficient, and well-maintained environment conducive to high-quality education, acting as the primary link between the management and the daily operational needs. Key Responsibilities 1. Operational Management & General Administration Office Management: Supervise the school front office staff, reception, and administrative assistants, ensuring efficient handling of admissions paperwork, student records, and parent communication flow. Documentation & Record Keeping: Maintain all statutory records, student files (physical and digital), inventory lists, and non-academic institutional documentation as required by CBSE and state regulatory bodies. Logistics & Events: Coordinate logistics for non-academic events, school functions, field trips, and parent-teacher meetings, ensuring necessary permissions and arrangements are in place. 2. Financial Oversight & Budgeting Budget Execution: Manage the operational budget (non-academic expenses) approved by the management, ensuring cost-effective procurement and resource allocation. Procurement: Oversee the purchasing of non-academic supplies (stationery, cleaning materials, office equipment, maintenance contracts, etc.), ensuring timely delivery and quality control. Fee Management Support: Assist the accounts department in tracking fee collection, follow-up on outstanding fees, and issuing receipts/financial confirmations. 3. Compliance & Regulatory Affairs CBSE & State Compliance: Ensure all administrative practices, record-keeping, and facility standards meet the requirements set forth by the CBSE board and local government regulations (e.g., fire safety, health permits). Audit Preparation: Prepare necessary documentation and coordinate efforts for internal and external audits related to administration and facility management. 4. Infrastructure & Facilities Management Safety & Security: Act as the Safety Officer, managing school security personnel, ensuring CCTV systems are operational, and implementing security protocols for student drop-off, pick-up, and campus access. Maintenance: Oversee routine maintenance, repairs, and upkeep of all school buildings, classrooms, playgrounds, washrooms, and utilities to ensure a clean and safe environment. Transportation: Manage the school's transportation system, including route planning, vehicle maintenance schedules, bus staff supervision, and adherence to student safety regulations. 5. Human Resources (Non-Academic Staff) & Support Staff Supervision: Directly manage and supervise all non-teaching staff, including security guards, maintenance personnel, cleaning staff, and drivers. Recruitment & Training: Assist in the initial screening and onboarding of non-teaching staff. Conduct regular training sessions on safety protocols, code of conduct, and facility management standards. Performance: Monitor the daily performance of administrative and support staff, ensuring professional standards and effective output. Required Qualifications & Competencies Education: Bachelor’s degree in Business Administration, Management, or a related field. (A Master's degree is preferred.) Experience: Minimum 5-7 years of proven experience in administrative or operational management, preferably within an educational institution (K-12 or primary school setting). Regulatory Knowledge: Strong working knowledge of CBSE affiliation procedures and government compliance regulations relevant to primary schools in Gujarat/Ahmedabad. Skills: Excellent leadership, organizational, and communication skills (written and verbal, English and Hindi/Gujarati). Proficient in MS Office suite and school management software (ERP). Soft Skills: High level of integrity, problem-solving ability, and a strong commitment to child safety and institutional mission.
