SALES EXECUTIVE REPORTING TO: Head of Sales PURPOSE: The purpose of the Sales Executive role is to contribute to the growth of Au Finja's diamond product sales by effectively supporting sales initiatives, building relationships with distributors, and enhancing customer satisfaction. This role is key to achieving our sales targets and strengthening our position in the diamond jewelry market. Making sure that any stock taken by you during any visit is handled with care and safety and returned to the office. Ensuring proper updating of CRM, Excel sheets, reports daily as per business needs. Ensuring teamwork for the achievement of business goals. Accounts Executive REPORTING TO: Account Manager PURPOSE: The Accounts Executive is responsible for maintaining accurate and timely accounting records, managing material loss reporting, handling export-import documentation, and ensuring proper follow-up on receivables. The role also involves assisting in general accounting functions, tax-related work, and administrative coordination as directed by the Accounts Manager. The position requires sound knowledge of GST, TDS, and other statutory accounting principles, along with a disciplined and organized approach to managing records and reports. Job Role Material Loss Tracking & Reporting: Maintain and update daily reports of material losses as received from factory departments. Verify that reports are complete and accurate before submission to the Accounts Manager. Highlight any abnormal or recurring loss patterns for management review. Maintain historical loss data for reference, analysis, and audit purposes. Customer Transactions & Receivables: Record and track all material and financial transactions with customers as per instructions from the Accounts Manager. Reconcile balances and maintain updated customer ledger. Prepare and share daily or weekly receivable statements. Follow up with customers for pending payments and confirmations as directed. Coordinate with the sales team and customers for settlement of balances. Export-Import Accounting & Documentation: Make visits to Export and Import related Government/Non-Government offices as and when required. Prepare and maintain all export and import documentation including invoices, packing lists, shipping bills, and bank-related papers. Coordinate with CHA (Customs House Agents), freight forwarders, and logistic partners for timely shipment and clearance of goods. Ensure compliance with all DGFT, customs, and RBI guidelines related to export-import of jewellery and precious metals. Track realization of export proceeds and coordinate with banks for submission of relevant documents (such as GR, EDF, and BRC). Maintain records of export incentives, duty benefits, and refund claims (e.g., IGST refund, RoDTEP, etc.). General Accounting & Taxation: Handle day-to-day accounting entries including vouchers, bills, and payments. Maintain petty cash records and assist in expense tracking and reconciliation. Support preparation of monthly and annual accounts. Assist in GST, TDS, and other statutory returns, ensuring timely compliance. Coordinate with auditors during internal and statutory audits by providing required information. Ensure data accuracy and timely posting in accounting software (e.g., Tally). Administrative & Support Functions: Support travel, logistics, and vendor payment processing as directed by the Accounts Manager. Assist in documentation and record-keeping for trade shows, courier dispatches, and purchase orders. Coordinate with admin and HR teams for reimbursement, invoice verification, and vendor-related documentation. Ensure proper filing and maintenance of physical and digital records for all accounts and admin-related documents. Daily Reporting & Coordination: Prepare and submit daily, weekly, and monthly reports as per defined formats. Communicate effectively with internal departments and external partners to ensure timely completion of assigned tasks. Follow up on pending documents, payments, or tasks as per management instructions. Miscellaneous : Maintain strict confidentiality of all financial, customer, and company-related data. Ensure accuracy, transparency, and accountability in all accounting activities. Adhere to company policies, SOPs, and ethical standards at all times.
