Job Description

Designation: Assistant Manager - Vendor Billing (SCM) Role Overview: The Assistant Manager - Vendor Billing will play a critical role in ensuring smooth financial operations within the Supply Chain Management (SCM) department by handling vendor billing, payments, and cost tracking. This role demands strong coordination with internal teams like Finance, Legal, and SCM, as well as external vendors, ensuring accurate and timely processing of bills and financial data. Key Responsibilities: Bill Register Management: Maintain accurate date records and status updates for transportation, storage, service, and maintenance bills. Bill Verification and Submission: Check and verify all supporting documents and approvals before submitting bills to the Finance team for booking and payment. SCM Fund Requirement Planning: Coordinate monthly SCM fund requirements with the EY & Finance team after discussions with senior management. Monthly Provisioning: Ensure timely sharing of monthly provision data with the Finance team after taking it from Logistics & Operation team. Logistics Cost Management: Track and manage logistics costs for in-house vehicles and provide regular reports to management after taking it from the Logistics & Operation team. Quarterly No Due Certificate Updates: Maintain and update quarterly No Due Certificates for all vendors. Agreement Tracker Maintenance: Ensure the agreement tracker is consistently updated and maintained for all service providers. Outstanding Reports: Generate, review, and share month-wise outstanding reports. Weekly Payment Monitoring: Track and report on weekly payment releases after getting fund allocation from the finance team. Vendor Credit & Debit Note Management: Handle all vendor-related credit and debit notes efficiently along with hard copies & communication mails. SAP Vendor Code Creation: Arrange necessary documentation and coordinate with relevant teams to create new vendor codes in the SAP system before onboarding new service providers. Agreement Signing Coordination: Facilitate the agreement signing process in collaboration with the Legal team. Immediate Payment Processing: Ensure prompt processing of urgent payments for repairs, maintenance, and essential purchases like tires and batteries. Vendor Relationship Management: Establish and maintain strong relationships with vendors to ensure smooth operations and address any billing or payment issues promptly. Audit Support: Assist in internal and external audits by providing accurate and timely financial records and reports. Process Improvement: Identify opportunities for streamlining billing and payment processes to enhance efficiency and reduce errors. Compliance Assurance: Ensure adherence to company policies, legal requirements, and financial regulations in all billing-related activities. Qualifications: Bachelors degree in finance, Accounting, Supply Chain Management, or a related field. 5+ years of experience in vendor billing, financial operations, or supply chain finance. Proficiency in SAP and Microsoft Office (Excel, Word, PowerPoint). Strong analytical, organizational, and problem-solving skills. Excellent communication and stakeholder management abilities. Detail-oriented with a high level of accuracy in financial data management.
