This role is the heart of day-to-day operations . Key Responsibilities1️ Driver Coordination & Communication Call drivers daily and record reporting status. Assign drivers to trips based on availability, route knowledge, and performance. Maintain clear communication with drivers during loading, transit, and unloading. Handle driver issues calmly (delays, confusion, last-mile instructions). Ensure drivers follow company rules and SOPs. 2️ Trip Planning & Dispatch Execution Prepare daily trip plan / dispatch chart. Issue trip sheets with all details (load, route, advance, fuel, customer contact). Ensure driver receives loading instructions on time. Set ETA for each trip and update control room board. Coordinate with customers and loading points. 3️ Real-Time Vehicle Tracking (GPS Monitoring) Track vehicle movement every 1–2 hours. Monitor stoppages, route deviations, over-speeding. Update status: Running / Loading / Unloading / Breakdown / Idle. Immediately escalate if truck is stopped for too long. Inform customer and management about critical delays. 4️ Documentation & Compliance Collect trip sheets, fuel slips, toll slips immediately after trip closure. Ensure trip sheet is fully filled by driver. Submit all documents to Accounts on same day. Update POD tracking – make sure POD reaches within 24–48 hours. Maintain digital and physical copies of trip data. 5️ Driver Advance & Expense Handling Prepare fuel and expense requirement for each trip. Verify driver’s advance request based on km and route. Submit advance approval request to Fleet Manager/Accounts. Reconcile expenses after trip return. Highlight any suspicious slips or mismatches. 6️ Breakdown & Emergency Handling Receive breakdown calls and record issue details. Inform mechanic/workshop immediately.
