Job Description: HR & Admin Executive – Project Site Location: Project Site (India) Reporting to: Head – HR Administration / Project Manager 1. Job Purpose: The HR & Admin Executive will serve as the primary HR and administrative point of contact at the project site. The role ensures seamless HR operations, compliance with statutory labour laws, employee engagement, payroll coordination, and administrative efficiency. The executive will act as a bridge between site operations and corporate HR, supporting workforce management, statutory compliance, and office administration. 2. Key Responsibilities:A. Human Resources Management Recruitment & On boarding Coordinate manpower requisitions with project and corporate HR teams. Conduct interviews, background verification, and on boarding formalities at the site. Maintain employee records, joining forms, and site-specific induction programs. Attendance & Leave Management Maintain daily attendance records for all project staff (manual or bio metric). Track leaves, overtime, and site allowances. Report discrepancies to corporate HR and Project Manager. Payroll Coordination Ensure submission of attendance, overtime, and other allowances for timely payroll processing. Coordinate with finance/HR for EPF, ESI, and other statutory deductions. Employee Relations & Grievance Handling Act as the first point of contact for employee queries. Resolve minor grievances at site and escalate complex issues to Head HR. Promote employee engagement activities on site. Statutory Compliance & Labor Laws Ensure compliance with Factories Act, Payment of Wages Act, EPF, ESI, Minimum Wages Act, Contract Labour (Regulation & Abolition) Act , and other applicable laws. Maintain registers, returns, and compliance documentation for inspection/audit. Liaise with labor inspectors and statutory authorities. Training & Development Support Assist in organizing site-level induction, safety, and skill development training. Maintain training records for site employees. B. Administration & Site Management Office & Facility Management Manage project site office, logistics, accommodation, transport, and canteen facilities. Ensure maintenance of office equipment, site records, and project documentation. Vendor & Contractor Coordination Support site management in coordinating with housekeeping, security, transport, and other service vendors. Ensure timely payments, approvals, and service compliance. Reporting & Documentation Prepare daily/weekly/monthly HR & Admin reports for Project Manager and Head HR. Maintain site MIS for workforce, attendance, leave, statutory compliance, and grievances. Health, Safety & Environment Support Assist HSE team in conducting safety inductions and compliance tracking. Maintain records of medical checks, accident reports, and safety training. 3. Key Performance Indicators (KPIs)KPITarget/Expectation Recruitment Efficiency 95% of site manpower recruited within the defined timeline. Onboarding Compliance 100% of new joiners complete induction & documentation within 48 hours. Attendance Accuracy <2% discrepancies in daily attendance & overtime reporting. Leave & Payroll Coordination Timely submission to corporate HR; <1% errors in payroll inputs. Statutory Compliance 100% compliance with labor laws; zero legal or statutory notices. Grievance Resolution 90% of employee grievances resolved within 7 working days. Employee Engagement Conduct minimum 1 site engagement/training activity per month. Vendor Management Timely payments and adherence to contracts; <5% service issues. Reporting Accuracy 100% of daily, weekly, and monthly reports submitted on time with accuracy. 4. Required Qualifications & Experience Education: Bachelor’s degree in HR, Business Administration, or relevant field. Experience: 2–5 years in HR/Admin, preferably in construction or infrastructure projects . Skills: Knowledge of labor laws and statutory compliance. Strong communication and interpersonal skills. Proficiency in MS Office, HRMS, and attendance management systems. Problem-solving and conflict resolution abilities. Ability to work independently at a project site with minimal supervision. 5.
