As an Office Secretary, you will be responsible for managing various clerical tasks to ensure smooth office operations and provide administrative support to the staff. Your duties will include handling communication, document management, scheduling, and basic bookkeeping while maintaining confidentiality and professionalism. Your key responsibilities will involve providing administrative support by answering phone calls, responding to emails, and greeting visitors. You will also be responsible for managing appointments, meetings, and travel arrangements, as well as preparing, editing, and organizing documents, reports, and presentations. In addition, you will maintain records, databases, and filing systems (both digital and physical), assist with invoices, expense reports, and office budget tracking, and handle office maintenance by ordering supplies, managing office equipment, and coordinating with vendors. Furthermore, as an Office Secretary, you will act as a communication liaison between management, employees, and external parties, ensuring effective information flow. You will also be required to handle sensitive information with discretion and ensure compliance with company policies. To qualify for this role, you should have a high school diploma or equivalent (an Associate's or Bachelor's degree is preferred) and proven experience in an administrative or secretarial role. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and office management software is essential. Strong organizational and multitasking skills, excellent verbal and written communication, attention to detail, and problem-solving abilities are also required. You should be able to work independently and handle confidential information effectively.
