Job Overview:We are looking for a proactive and detail-oriented Back Office Sales Coordinator to support our sales team, manage quote generation, coordinate dispatch planning, and handle customer communications. This role is critical in ensuring smooth internal coordination and high-quality customer service to drive business efficiency and customer satisfaction. Key Responsibilities: Quotation Management: Prepare and send quotations based on inquiries from customers or the sales team. Maintain a systematic record of sent quotations and follow-up status. Coordinate with the technical and pricing team for accurate quote preparation. Sales Team Coordination: Support and coordinate daily activities of the field sales team. Track inquiries, quotes, and order conversions. Maintain and update CRM or internal systems with relevant sales data. Purchase and Dispatch Planning along with Vendor Development : Coordinate with the logistics and warehouse teams for timely dispatch of goods. Prepare dispatch schedules based on order priority and customer deadlines. Monitor stock availability and plan dispatch accordingly. Customer Interaction: Act as a point of contact for customer queries related to orders, quotations, and dispatch. Provide prompt updates and resolution to customer concerns. Maintain good relationships with existing customers through consistent communication. Documentation & Reporting: Ensure proper documentation of sales, dispatch, and customer records. Generate and share regular sales reports with management. Key Skills & Qualifications:Bachelor's degree in Business Administration, Commerce, or related field. 2–4 years of experience in sales coordination, back-office support, or customer service. Proficiency in MS Office (Excel, Word, Outlook); ERP knowledge (like Tally, Odoo, SAP) is a plus. Strong communication and interpersonal skills. Have 1–4 years of sales or techno-commercial experience (machine safety / automation background is a plus). Love visiting sites, solving problems, and meeting new clients.
