Role Summary The Property Supervisor will be responsible for the day-to-day operational management of a commercial building, ensuring optimal functionality, and meticulous record-keeping. This role requires a highly organized and computer-proficient individual who can effectively interact with clients, oversee property maintenance, and accurately manage data related to property visits and operations. Key Responsibilities Property Operations & Maintenance: Conduct regular inspections of the commercial building to identify maintenance needs, safety hazards, and areas for improvement. Coordinate and oversee maintenance, repairs, and renovations, ensuring work is completed efficiently, to high standards, and within budget. Manage vendor relationships, including sourcing, scheduling, and supervising third-party contractors (e.g., cleaning, security, landscaping). Ensure compliance with all health, safety, and environmental regulations and building codes. Respond promptly to property-related emergencies and resolve issues effectively. Client & Customer Interaction: Serve as the primary point of contact for commercial tenants, addressing inquiries, concerns, and requests in a professional and timely manner. Build and maintain strong, positive relationships with all clients and customers, fostering a sense of community and satisfaction. Facilitate tenant move-ins and move-outs, ensuring smooth transitions and adherence to lease agreements. Conduct property tours for prospective tenants, highlighting key features and benefits. Data Management & Reporting (Computer Aptitude Essential): Utilize property management software and other digital tools to accurately record and track all property-related activities, including maintenance requests, inspections, tenant interactions, and vendor services. Enter detailed data during property visits, including observations, actions taken, and follow-up requirements. Generate regular reports on property performance, occupancy rates, maintenance costs, and tenant feedback for senior management. Maintain digital files and records, ensuring data integrity and accessibility. Assist with budget tracking and financial reporting related to property operations. Qualifications Experience: Proven track record of managing property operations, maintenance, and tenant relations. Skills & Competencies: Exceptional Computer Proficiency: Advanced skills in using property management software or Microsoft Office Suite (Excel, Word, Outlook), and other digital tools for data entry, reporting, and communication. Strong interpersonal and communication skills, with the ability to interact effectively with diverse clients, tenants, vendors, and team members. Excellent organizational and time management abilities, with a keen eye for detail. Proactive problem-solver with the ability to make sound decisions under pressure. Knowledge of building systems, maintenance practices, and relevant safety regulations. Ability to work independently and as part of a team in a fast-paced environment.
