Job Summary:

VMS Executive

Key Responsibilities:

• VMS Management

  : Oversee the full-cycle management of client requisitions through VMS platforms (e.g., Fieldglass, Beeline, etc.), ensuring accurate submission, tracking, and fulfillment of staffing needs.

• Client/Vendor Coordination

  : Serve as the primary point of contact for client VMS systems, addressing inquiries and resolving any issues that arise between clients and staffing vendors.

• Job Order Management

  : Monitor and manage the job order process, ensuring timely and accurate candidate submissions for client requisitions.

• Candidate Screening & Submission

  : Review candidate profiles submitted by vendors, ensuring they meet the clients job specifications and compliance requirements.

• Compliance & Documentation

  : Ensure all staffing processes adhere to legal, regulatory, and client-specific compliance standards, including background checks, certifications, and other required documentation.

• Performance Monitoring

  : Track and report on VMS metrics, vendor performance, and candidate placement timelines to ensure efficiency and success.

• Vendor Management

  : Collaborate with staffing agencies and vendors to resolve escalations, improve quality, and strengthen relationships.

• Client Reporting

  : Provide timely and detailed reports to clients, highlighting recruitment activity, candidate pipeline, and any outstanding issues.

• Training & Support

  : Offer training and guidance to vendors and internal stakeholders on using VMS platforms, ensuring smooth operations and consistency.

Requirements:

• Experience

  : 1-3 years of experience in VMS management, staffing, or recruitment operations, preferably in the US staffing industry.

• VMS Platforms

  : Familiarity with VMS platforms such as Fieldglass, Beeline, or others.

• Communication Skills

  : Excellent verbal and written communication skills, with the ability to effectively collaborate with vendors, clients, and internal teams.

• Detail-Oriented

  : Strong attention to detail with the ability to manage multiple tasks and prioritize effectively.

• Problem-Solving

  : Ability to troubleshoot issues related to the VMS, client/vendor concerns, and other staffing challenges.

• Technical Skills

  : Proficiency in MS Office Suite (Excel, Word, Outlook) and experience with VMS systems.

• Knowledge of Staffing Compliance

  : Basic understanding of US staffing and recruitment compliance, including background checks, E-Verify, and I-9 documentation.

• Education

  : Bachelor’s degree or equivalent work experience is preferred.

Preferred Qualifications:

• Knowledge of specific VMS systems (e.g., Fieldglass, Beeline, etc.).
• Experience working with large clients and multiple vendors.
• Strong analytical skills for performance tracking and reporting.
• Knowledge of recruitment trends and best practices in the staffing industry.
