Transportation Audit Compliance Coordinator

About the Role

We are looking for a detail-oriented and proactive Transport Compliance & Audit Coordinator with experience in German road freight, middle-mile, fleet operations, or transport compliance.

The role will be responsible for maintaining transport compliance records, preparing for customer and internal audits, monitoring driver and vehicle compliance, tracking corrective actions, and ensuring adherence to German transport regulations and customer-specific requirements. Key Responsibilities

1. Audit Preparation & Management

● Prepare and maintain documentation for customer, internal, and external transport audits.

● Maintain an up-to-date audit documentation folder and compliance checklist.

● Collect, verify, and organize audit evidence within required timelines.

● Coordinate auditor requests and ensure timely submission of documents.

● Track audit findings, corrective actions, and closure status.

● Maintain an audit calendar and monitor upcoming compliance requirements.

2. Driver Compliance

● Maintain complete and updated driver compliance files.

● Verify driving licence validity and required professional qualifications, including

Fahrerqualifikationsnachweis or Code 95.

● Track driver training, safety briefings, and compliance documentation.

● Monitor document expiry dates and ensure timely renewals.

● Conduct periodic driver compliance checks and escalate gaps.

3. Tachograph & Working-Time Compliance

● Monitor tachograph records and identify driving-time and working-time infringements.

● Review driving hours, breaks, daily/weekly rest, and working-time compliance.

● Coordinate driver-card and vehicle tachograph downloads.

● Maintain infringement records, evidence, and corrective actions.

● Escalate repeated or serious violations to management.

4. Fleet & Vehicle Compliance

● Maintain vehicle compliance and audit documentation.

● Track TÜV/HU, inspections, maintenance, tyres, defects, and safety-related records.

● Ensure vehicle documents are complete and readily available for audits.

● Coordinate with fleet and maintenance teams to close overdue compliance actions.

5. Customer Compliance & Quality

● Understand and monitor customer-specific SOPs and compliance requirements.

● Maintain supporting evidence for KPIs, service failures, safety incidents, and operational deviations.

● Support customer scorecard reviews and compliance meetings.

● Prepare Root Cause Analysis (RCA) and Corrective and Preventive Action (CAPA) documentation.

● Monitor compliance with route/tour requirements, POD, service levels, and operational procedures.

6. Subcontractor Compliance

● Maintain compliance documentation for subcontracted carriers.

● Verify licences, insurance, driver documentation, and transport-related certificates.

● Ensure subcontractors meet applicable legal and customer-specific requirements.

● Identify and escalate subcontractor compliance risks.

7. Compliance Reporting

● Prepare weekly and monthly transport compliance reports.

● Maintain compliance dashboards and audit trackers.

● Highlight overdue documents, repeated violations, audit findings, and high-risk areas.

● Escalate critical compliance risks immediately.

● Maintain accurate records that are complete, correctly stored, and readily retrievable.

Key Audit Areas

The role will support compliance across:

● EU Community Licence and German road transport requirements

● GüKG and transport-related legal requirements

● Driver licences and professional qualifications

● Tachograph, driving-time, break, rest, and working-time compliance

● Vehicle registration, TÜV/HU, maintenance, and safety records

● Insurance and Güterschaden-Haftpflichtversicherung

● Accident, incident, and safety documentation

● Customer SOPs and operational requirements

● Subcontractor compliance

● Quality KPIs, service failures, damages, claims, and cancellations

● Audit findings, RCA, CAPA, and corrective-action closure

Requirements

● 2–4 years of experience in German road freight, middle-mile, fleet operations, transport compliance, or a

similar role.

● Experience working with a freight carrier, 3PL, transport company, or logistics organization.

● Previous experience in transport audit preparation, compliance inspections, or audit reporting.

● Good understanding of German road transport and driver compliance requirements.

● Familiarity with tachograph data, driving/working-time regulations, and driver compliance documentation.

● Strong documentation, reporting, and follow-up skills.

● Good working knowledge of MS Excel / Microsoft Office.

● Strong attention to detail and ability to identify compliance gaps.

● Good English communication skills.

● Ability to coordinate with drivers, fleet teams, operations, customers, and management.

Education

Bachelor's degree or equivalent professional qualification in:

● Logistics

● Transport Management

● Supply Chain Management

● Business Administration

● Fleet Management

Relevant practical experience in German road transport will also be considered.

Preferred Skills

● Experience with customer audits and transport compliance inspections.

● Knowledge of Code 95 / Fahrerqualifikationsnachweis.

● Understanding of GüKG and German road freight compliance.

● Experience with RCA, CAPA, compliance dashboards, and audit trackers.

● Experience handling multiple compliance requirements and deadlines.

● Strong analytical and problem-solving skills.

Pay: ₹70,000.00 - ₹75,000.00 per month
