We are seeking a highly organized and proactive Secretary / Executive Assistant to support the Chief Operating Officer (COO). The ideal candidate will manage schedules, coordinate client interactions, handle travel arrangements, and accompany the COO for meetings across India and internationally when required. Key Responsibilities 1. Calendar & Schedule Management • Manage and maintain the COO’s daily schedule, appointments, and meetings. • Coordinate client meetings and ensure timely reminders. • Organize and prioritize tasks to ensure smooth workflow for the COO. 2. Travel Coordination • Plan and arrange detailed travel itineraries for domestic and international trips. • Handle ticket bookings, hotel reservations, local transportation, and related logistics. • Maintain updated travel documents and ensure all arrangements are cost-effective and efficient. 3. Meeting Coordination • Accompany the COO for client meetings, events, and conferences across India. • Travel internationally with the COO when required for global business engagements. • Prepare meeting agendas, minutes, and follow-up action items. • Ensure all meetings are scheduled, aligned, and executed seamlessly. 4. Client & Communication Management • Serve as the primary point of contact between the COO and clients. • Handle phone calls, emails, and correspondence professionally and promptly. • Maintain confidentiality and handle sensitive information with discretion. 5. Administrative Support • Manage documentation, filing, records, and office correspondence. • Assist with presentations, reports, and business documents. • Coordinate with internal departments for smooth operational flow. Requirements • Graduate or equivalent qualification. • Excellent communication and interpersonal skills. • Strong organizational and time-management abilities. • Willingness to travel frequently across India and internationally. • Proficiency in MS Office and digital communication tools. • Ability to work under pressure and multitask efficiently. • Professional appearance and confident personality. Preferred Qualities • Prior experience as an Executive Assistant / Secretary. • Strong problem-solving skills and proactive attitude. • Ability to maintain confidentiality and follow professional ethics.
