As a Project Coordinator, you will play a crucial role in supporting our project management efforts, ensuring smooth operation and coordination between our US-based engineering team, sales support team, and outsourced engineering detailers. You will assist in managing project requirements, schedules, and communications, contributing to the successful delivery of civil engineering projects. Key Responsibilities: 1. Project Coordination and Support • Assist in project planning and scheduling: Work closely with project managers to develop detailed project plans and schedules. This includes defining project scopes, setting timelines, assigning tasks to team members, and ensuring resources are allocated efficiently. • Monitor project progress: Regularly track and report on the progress of projects against the plan, including monitoring deadlines, milestones, and deliverables. Use project management software (e.g., SharePoint, Office 365) to keep all project documentation and schedules up to date. 2. Communication and Collaboration • Facilitate team communication: Act as a liaison between internal teams (engineering, sales support) and external parties (outsourced engineering detailers) to ensure clear and effective communication throughout the project lifecycle. Organize and participate in regular project meetings, prepare agendas, and distribute minutes to all project team members. • Stakeholder updates: Prepare and distribute regular updates and reports to stakeholders, including project status, risks, and changes, to keep them informed and engaged. 3. Documentation and Reporting • Maintain project documentation: Ensure all project-related documents (contracts, plans, reports, and correspondence) are properly managed, accessible, and updated. Utilize SharePoint for document management and control. • Progress reporting: Assist in the preparation of comprehensive project reports, including progress, financial, and risk assessment reports, to provide transparency and inform decision making processes. 4. Issue and Risk Management • Support issue resolution: Help identify potential project issues and bottlenecks, working with the team to develop solutions or mitigation strategies to keep the project on track. • Risk monitoring: Assist in identifying and assessing potential risks to the project’s timeline, scope, or budget. Support the development and implementation of risk mitigation plans. 5. Administrative Support • Meeting organization: Schedule and coordinate meetings, workshops, and other project related events. Ensure logistical arrangements are in place and manage invitations and attendee lists. • Resource management assistance: Support the project manager in resource allocation and management, ensuring that the project has the necessary resources (human, technical, material) at the right times to achieve project goals. Preferred Qualifications: • Associate degree in Civil Engineering, Project Management, or related field. • 1-2 years of experience in project coordination, preferably in the civil engineering or construction sector. • Familiarity with project management tools and software, such as SharePoint and Office 365.
