Job Title: Tender Executive Department: Sales / Business Development / Contracts Location: [Insert location] Reports To: Tender Manager / Business Head Employment Type: Full-Time --- Job Summary: The Tender Executive is responsible for managing the entire tendering process from identifying potential tenders, documentation, and proposal preparation to submission and post-submission follow-ups. The role requires coordination with various internal departments and external stakeholders to ensure timely and accurate responses to tenders, with the aim of winning business opportunities for the company. --- Key Responsibilities: 1. Tender Identification & Tracking: Monitor and identify relevant tender opportunities through government portals, websites, newspapers, and tender subscription services. Register the company on various e-tendering platforms (GeM, CPPP, eProcurement, etc.). 2. Tender Documentation: Collect, review, and organize all documentation required for tender submissions. Coordinate with internal departments (technical, finance, legal, etc.) to gather necessary inputs. Ensure compliance with all tender requirements, including technical and commercial terms. 3. Tender Preparation: Prepare pre-qualification documents, technical proposals, and financial bids. Work on pricing, costing, and preparing BOQs (Bill of Quantities) based on tender requirements. Format, compile, and proofread the final tender document. 4. Submission & Follow-Up: Submit tenders online or physically as per the guidelines. Track tender status and maintain communication with the tendering authority for updates or clarifications. Handle bid opening procedures and maintain records of submitted tenders. 5. Post-Tender Activities: Assist in contract negotiation, documentation, and award formalities if the tender is won. Maintain and update records of all tenders (won, lost, pending) for future reference and audit. 6. Reporting: Provide regular reports to the management regarding tender opportunities, success rates, and competition analysis. Maintain a tender tracker and documentation for internal reviews and audits. --- Skills and Qualifications: Bachelor’s Degree in Business Administration, Commerce, Engineering, or related field. 1–3 years of experience in tendering, bidding, or contracts management. Knowledge of Government e-Marketplace (GeM), CPPP, and other e-tender platforms. Strong documentation, writing, and organizational skills. Proficiency in MS Office (especially Excel, Word, PowerPoint). Good communication and negotiation skills. Ability to work under deadlines and manage multiple tenders simultaneously. Attention to detail and understanding of legal/commercial terms. --- Preferred: Experience in sectors like construction, healthcare, engineering, IT, or government contracting. Familiarity with online bidding systems and procurement rules (GFR, MSME, Make in India policy, etc.).
