Supply Chain & Operations Executive

Ayka Medical manufactures sterilization packaging and monitoring products used by hospitals across India. We are looking for a proactive and organized Supply Chain & Operations Executive to manage material planning, inventory, purchase coordination, factory operations and logistics.

Key Responsibilities

1. Purchase & Vendor Coordination

• Coordinate purchase requirements, purchase requisitions and purchase orders.
• Follow up with vendors on material availability, delivery timelines and pending supplies.
• Track incoming materials and resolve quantity or delivery discrepancies.

2. Inventory Management

• Maintain accurate inventory records using inventory software/ERP.
• Monitor raw materials, finished goods, samples, FOC stock and damaged stock.
• Reconcile system stock with physical inventory and investigate discrepancies.
• Monitor minimum stock levels and flag shortages or replenishment requirements.

3. Factory & Production Coordination

• Coordinate factory orders and material requirements.
• Track production progress, pending orders and expected completion dates.
• Ensure the correct product specifications, quantities and product codes are communicated to the factory.
• Coordinate movement of finished goods from the factory to the Delhi office or dispatch location.

4. Logistics & Dispatch

• Coordinate incoming and outgoing shipments with courier and transport partners.
• Track shipment bookings, AWB/docket numbers, expected delivery dates and delays.
• Coordinate with vendors, factory staff and internal teams to ensure timely deliveries.

5. Order Fulfilment & Reporting

• Track orders from material availability and production through dispatch and delivery.
• Maintain operational trackers and prepare regular reports on inventory, pending purchases, factory orders and shipments.
• Identify bottlenecks and follow up proactively to ensure tasks are completed on time.

Requirements

• 2–5 years of experience in supply chain, inventory, procurement, logistics or operations.
• Hands-on experience with Zoho Inventory is strongly preferred.
• Experience in manufacturing, trading, distribution or a similar business environment is preferred.
• Good working knowledge of Excel/Google Sheets and inventory records.
• Strong coordination, follow-up, problem-solving and organizational skills.
• Ability to manage multiple tasks independently and maintain accurate records.

Someone who takes ownership of day-to-day operations, follows through on pending tasks and ensures that materials, factory orders and shipments move smoothly without constant supervision.
