Job Summary: The Front Desk Representative will manage our front desk and play a vital role in customer engagement and operational efficiency. This position requires a blend of excellent customer service, sales support, and administrative skills. You will be responsible for handling all incoming inquiries, coordinating between sales and service teams, and ensuring the smooth running of the office. Key Responsibilities: 1. Inquiry Management & Customer Service: Serve as the primary point of contact for all incoming inquiries via phone, email, and walk-in customers. Greet clients and visitors with a positive, helpful attitude. Provide accurate information about our products (e.g., commercial ovens, refrigerators, cooking ranges) and services (installation, maintenance, repairs). Professionally handle and direct all incoming calls to the appropriate department or personnel. 2. Sales Support & Coordination: Handle initial sales inquiries and qualify potential leads before passing them to the sales team. Make outbound follow-up calls to customers regarding quotations, product inquiries, and pending orders. Assist the sales team by scheduling appointments, preparing quotations, and maintaining a customer database (CRM). Proactively engage with potential clients over the phone to introduce our products and generate new leads. 3. Service Call Management & Coordination: Log all customer service complaints and repair requests accurately in our system. Coordinate with the technical service team to schedule service visits, installations, and maintenance appointments. Act as a liaison between the customer and the service technicians, providing timely updates on service status. Ensure customer issues are resolved efficiently by facilitating clear communication and follow-up. 4. Administrative & Operational Duties: Manage the reception area, ensuring it is tidy and presentable at all times. Handle incoming and outgoing mail, couriers, and deliveries. Maintain and update company records, including client information, sales logs, and service reports. Assist with basic administrative tasks such as filing, data entry, and preparing reports. Manage office supplies inventory and place orders when necessary. Qualifications and Skills: Education: A Bachelor's degree in any discipline is preferred. Experience: Minimum 1-3 years of proven experience in a front desk, customer service, tele-sales, or administrative role. Experience in a similar industry (equipment, hardware, electronics) is a strong advantage. Communication: Excellent verbal and written communication skills in English, Hindi, and Gujarati. Technical Skills: Proficient in MS Office Suite (Word, Excel, Outlook) and comfortable learning new software (e.g., CRM systems).
