Prepare applications in timely manner and ensure all required documents are present and correctly formatted according to case type. Flag missing or incomplete information and follow internal protocols to escalate or resolve issues. Accurately input case data into systems within required timeframes. Cross-reference information with supporting documents or external systems to validate content. Maintain data integrity while complying with formatting and naming conventions. Upload, label, and categorize documents into the appropriate folders or systems. Ensure secure storage and handling of sensitive or confidential documents. Assist with digital archiving and retrieval of historical case files when required. Report work on daily basis to Office Manager Key Skills & Competencies: Attention to Detail – for reviewing and inputting accurate case data. Time Management – to handle high volumes of files within deadlines. Confidentiality – to manage sensitive or personal information securely. Key Responsibilities Supervise a team of immigration file processors handling visa applications and supporting documents. Assign daily/weekly workloads and monitor task completion and quality. Provide guidance on file preparation, timelines, and case prioritization. Coordinate with head office on daily basis and make sure on time files preparation. Hire and Train office staff. Conduct regular team meetings to update on regulatory changes and internal policies. Ensure proper handling, organization, and filing of sensitive immigration documents. Review completed case files for accuracy, completeness, and compliance. Coordinate with legal or case management teams to clarify case strategies or resolve issues. Implement and maintain document tracking systems for deadlines, submissions, and follow-ups. Onboard and train new staff on immigration processing tools, procedures, and case types. Stay informed on immigration law changes and ensure team alignment through briefings or workshops.
