In smaller to mid-sized organizations, the Junior Accountant cum Administrator is a hybrid role that serves as the "backbone" of the office. This person ensures the books are accurate while simultaneously keeping the office running smoothly. Job Summary The Accountant cum Administrator is responsible for managing all financial transactions and bookkeeping while overseeing daily office operations. This role requires a unique blend of mathematical precision and organizational multitasking. Key Responsibilities1. Financial Management (Accounting) Bookkeeping: Maintain accurate records of all daily transactions using software (Tally, QuickBooks, Zoho, etc.). Invoicing: Generate and send invoices to clients and follow up on outstanding payments (Accounts Receivable). Expense Management: Process vendor payments, employee reimbursements, and utility bills (Accounts Payable). Bank Reconciliation: Reconcile monthly bank statements to ensure ledger accuracy. Payroll: Calculate monthly salaries, deductions, and ensure timely disbursement. Tax Compliance: Assist in the preparation and filing of GST, VAT, or other statutory tax requirements. 2. Office Administration Facility Management: Ensure the office is well-maintained and manage relationships with building security or cleaning services. Procurement: Order and manage office supplies, stationery, and pantry items. Documentation: Maintain a physical and digital filing system for contracts, licenses, and legal documents. HR Support: Assist in onboarding new employees, tracking attendance, and maintaining leave records. Secretarial Tasks: Coordinate meetings, manage the office calendar, and handle incoming calls or mail. Required Skills & Qualifications Education: Bachelor’s degree in Accounting, Finance, or Business Administration. Technical: Proficiency in MS Excel (Advanced) and accounting software. Soft Skills: Multitasking: The ability to switch between a spreadsheet and an administrative emergency. Integrity: Handling sensitive financial data and petty cash. Communication: Clear professional writing for both financial reports and office-wide memos. Performance Metrics (KPIs) Accuracy: Zero errors in financial reporting and tax filings. Timeliness: Salaries paid on time and invoices sent out immediately. Cost Control: Efficient management of office supplies and administrative overhead.
