The Manager, Travel Services, acts as the primary contact between the global travel services team, the travel management companies (TMCs), Rotary volunteers, travel manager, finance department and Rotary staff, ensuring exceptional customer service to Rotary travelers while facilitating cost effective control. Providing travel agents with leadership and technical support to achieve departmental objectives and ensure the effective delivery of the desired end-to-end customer experience. Guiding travel agents to provide advice and counsel to volunteers and employees on travel bookings, medical, visa, and other requirements for international travel. Ensuring travel accommodations are obtained at the best possible cost consistent with Rotary travel policies Securing data and documenting files for periodic audit. Collaborating with Rotary business units in advance of meetings to strategize planning, resolve problems, manage exceptions, and respond to varied departmental and external requests. Providing consultation and industry knowledge to help ensure appropriate corporate responsibility for travelers is effectively maintained, including personal traveler safety, traveler tracking, event security and global situational awareness as related to Rotary travelers. Designing, producing, and distributing various information tracking and management reports as required. Developing and creating periodic reports regarding travel costs and departmental performance for both management and transparency purposes. Overseeing the travel expense payment and reconciliation processes, in collaboration with relevant finance and operations teams, ensuring timely payment and accurate accounting of expenses, including payment platform vendors, travel agencies, data aggregators, etc. Supporting the coordination and integration of various internal and external data sources, databases and information networks between travel service providers and processing of related expense data into RI accounts receivable, accounts payable, corporate reporting, and/or general ledger systems, including review and approval of volunteer and staff expense reports. Collecting financial data from all TMCs to provide quarterly and annual reporting on travel spend. Providing data/information to other business units to assist in the development and monitoring of their travel-related budgets. Developing travel training programs with the travel services team for staff and RI officers, volunteers, travel counselors and/or program participants. General OverviewAssist in coordinating all legal matters related with Program and Members Experience, South Asia Philanthropy, Global People & Talent, Financial Services. Coordinate all other compliance pertaining to various administrative statutory guidelines applicable to RI South Asia Office. Provide support to outside legal counsels and other parties involved in court cases and election complaints. Attend court whenever required. Education · Bachelor’s degree in law is essential (either 5-years integrated or B.com (H) + 3 years law). · Experience with NGOs, international donors, or cross-border legal matters (based on your mention of WHQ and international offices preferred. Specific Duties Coordinate all aspects of legal cases involving Rotary International South Asia Office Reviews, analyzes and processes legal disputes pertaining to Rotary International South Asia Office, including, but not limited to: · Assist in carrying out preliminary research to shortlist and recommend suitable legal firms. · Vetting of replies to the notices served on or by Rotary. · Vetting of, filing to be made to the competent judicial/ quasi-judicial authorities, various documents including writs, suits, petitions, plaints, rejoinder etc. · Vetting of miscellaneous applications/ Affidavits etc. · Advising/ opining on matters of legal strategy. · Drafting/ vetting of various MOUs, agreements, contracts etc. · Providing legal opinions and (time-to-time) updations on legal subjects, policies, alignment with laws including but not limited to corporate tax and other matters · To perform such other duties of legal nature that may be assigned by Rotary from time to time. · Track legal hearing dates and outcomes. · Promptly and accurately report and update status of cases for reference of International Office Manager, Manager, Legal & Stewardship and World Headquarters. · Liaise with outside legal counsel and obtain counsel on legal issues. · Assist International Officer Manager in preparation of special reports/assignments on legal issues. · Attend court hearings whenever required. · Research and reply to any legal queries raised by WHQ. · Liaise with outside legal counsel in all cases where RISAO (or their authorized representatives) either initiate legal action or defend a lawsuit. · Acquire, maintain and continuously update policies of regulatory bodies under various legislations which are applicable to Rotary International South Asia Office · Coordinate various compliances pertaining to various statutory guidelines applicable on Rotary International South Asia Office · Legal due diligence and legal audits background preferred · Regulatory risk assessment & Corporate governance Perform other duties or special projects as assigned, not included above. Overview : This Position will focus on statutory compliance, financial reporting and accounting compliance. The candidate will maintain financial records, support in ensuring compliance in Income tax, GST and CSR processes, assisting in audit processes, and assist in preparing CSR reports. Key responsibilities include ensuring compliance related to Income tax, GST and Companies Act, improving financial process efficiency, and ensuring timely and accurate reporting. This position will directly support the need of statutory and regulatory compliances as applicable for not-for- profit organizations. You Will Have Bachelor’s degree in commerce is a must. Proficiency in computers, accounting software and MS Office is required. Chartered Accountant or Cost Accountant is mandatory. Minimum 5 years of related work experience required, preferably in an accounting environment with related organization/institution. Giving and receiving constructive feedback Prioritizing workload Making decisions You Are Open To Travel You Will Be Responsible For Regulatory Compliances Assist Manager in ensuring timely reporting under the laws, rules & regulations applicable to RISAO/RF(I) viz. annual returns under Income Tax, Companies Act, Society’ s Act, Goods & Services Tax Act, Foreign Contribution (Regulation) Act, Works Contract Act; monthly and quarterly return of TDS Returns etc. Assist Manager in maintenance of statutory records of RISAO a Section 25 Company under Companies Ac, 1956 viz. Minutes Book for entire Board Meetings and Annual Shareholders’ meeting, Register of Directors, Shareholders, etc. Responsible for reviewing reports submitted by tax/ audit consultants assigned for compliance matters Handle various compliances pertaining to various statutory guidelines applicable on RI South Asia Office. Draft Board items related to compliance matters related with RFI and RISAO. Review, analyze and coordinate all Income tax and GST cases pertaining to Rotary entities. Research and reply to any queries raised by WHQ related to Income tax and GST matters Assist Manager in acquiring, maintaining, and continuously updating policies of regulatory bodies including FCRA, CSR, Income Tax, Goods and Service Tax Act and laws regarding registration of Society/ Trust. Assist Manager in reviewing matters related to organizational compliances like Finance (GST/ Income tax scrutiny and assessments, financials of RFI/ RISAO, INPPS,). Work with the Legal and Finance Department in creating upfront controls, especially those related to setting up fiscal controls and accounting procedures for RFI and RISAO. Accounts Payables Assist Manager in timely reporting of financial information to WHQ for General Ledger closings, the preparation of RI/TRF financial statements, and for meeting all office and local entity requirements. Assist Manager in handling any discrepancy of accounts, exchange rates, Policies and Procedures (P&P) etc. between local records and WHQ's, and make any necessary corrections Draft Request for Proposal (RFP) and other documentation. Actively participate in selection of auditors and consultants as assigned Process bills for fees of consultants. Preparation of quarterly compliance report. Work with teams to ensure that CSR funds are spent in accordance with approved budgets and are complaint with CSR law. Support audit requirements by gathering and providing necessary documentation, coordinating with Chartered Accountants for the attestation of UCs, and ensuring compliance with financial regulations. Regularly review the General Ledger for CSR-related activities, ensuring transactions are accurately recorded under the correct entity code (465) to maintain financial integrity. Take on additional duties as assigned by management, including supporting special projects, addressing urgent financial issues, or assisting with other CSR-related tasks as needed. Prior to CSR disbursements, ensure that approved CSR projects are compliant with Schedule VII of Companies Act 2013. Serve as point of contact for the consultant responsible for finalizing Utilization Certificate for the CSR companies. Accounts Receivables Regularly review and enhance the contribution process by identifying inefficiencies, integrating stakeholder feedback, implementing automation where possible, and ensuring alignment with Rotary International standards to strengthen transparency, accuracy, and donor satisfaction. Proactively explore and adopt new opportunities and innovative methods for collecting donations to The Rotary Foundation (India), including digital payment platforms, recurring giving models, corporate partnerships, and emerging fundraising trends to expand reach. Consistently review and optimize the Accounts Receivable processes of the Rotary International South Asia Office, while strengthening coordination with the World Headquarters (WHQ) finance team to ensure timely reconciliation, accurate reporting, and robust financial controls.
