Role & responsibilities Follow-Ups and Updates : Track and follow up on QA and design-related emails (e.g., RIS-EMAIL-0148, RIS-EMAIL-0149). Ensure dispatch target dates for CPB/manual hoists are updated in RIS screens. Monitor RIS-EMAIL-0181 and RIS-EMAIL-0180 for MDCC and final inspection client status. Meetings Coordination : Organize fortnightly Friday meetings for reviewing "Holded Equipment" in RIS with MDO and design teams. Schedule alternate Wednesday meetings with design and production teams to review upcoming equipment plans for the next 15 days. Coordinate drawing approval meetings between CRM (MDO) and design teams every Monday. Pending Compliance Reviews : Review pending compliances from quality or other departments to ensure MDCC is issued. Verify that all final inspection remarks from the quality team are updated in RIS. Order and Equipment Review : Check pending orders with the design coordinator to identify: Approved equipment not added to production. Equipment and spares that do not require further approvals. Design Drawing Checks : Monitor the design drawing screen, follow up with concerned persons for submissions nearing expiry dates, and ensure timely actions. 3. Output Expectations Timely Follow-Ups : Ensure all QA, design, and quality-related follow-ups are completed without delay. Accurate Records : Maintain updated RIS records for MDCC, dispatch dates, approvals, and final inspections. Meeting Effectiveness : Conduct scheduled meetings with actionable outcomes and follow-up reports. Compliance Resolutions : Ensure pending compliances are resolved and MDCC is issued on time. Production Readiness : All approved equipment and spares are seamlessly added to production. 4. Core Competencies Technical Expertise : Proficiency in RIS software for updating and tracking tasks. Basic understanding of quality, design, and production processes. Organizational Skills : Ability to manage multiple follow-ups, meetings, and documentation efficiently. Communication Skills : Clear, professional communication with MDO, design, and quality teams. Ability to escalate issues promptly and coordinate resolutions effectively. Detail-Oriented : Ensure accuracy in all data updates, approvals, and compliance tracking. 5. Communication Plan Internal Communication : Daily : Follow up on RIS updates, emails, and compliance resolutions with the respective teams. Weekly : Share progress reports with the MDO and senior management. External Communication : Liaise with clients for updates related to MDCC and final inspections (if applicable). Document and maintain detailed call logs and follow-up actions in RIS.
